Position Summary

The Office Assistant supports our internal team on a variety of administrate tasks and multi-department projects. To succeed in this role, you should have excellent time management and communication skills, as you will collaborate with various internal teams (and potentially clients) to deliver exceptional results on extremely tight deadlines. You will be highly independent, accepting tasks from all levels of the organization. You will have sharp attention to detail, an exceptional aptitude for learning new tasks, and the ability to prioritize your workload in a fast-paced and ambiguous environment.

• Experience in file management, database management, scheduling, and record keeping.
• Experience working with a variety of social media platforms, to include LinkedIn, Facebook, Instagram, etc.
• Proficient in MS Office Suite including Excel, Word and Outlook.
• Proficient in QuickBooks helpful.

This position has the following expectations:

• Maintaining all aspects including but not limited to the following: Receiving incoming jobs, answering and directing all phone calls, filing, maintaining customer files, etc.
• Managing and maintaining all aspects including but not limited to the following: Invoicing, Collections, Receiving and applying customer payments, receiving incoming jobs, answering and directing all phone calls. etc.
• All other day to day Bookkeeping and Administration functions of the company as needed

• Assisting with other miscellaneous office duties
• All office personnel will be required to read one business book per quarter.
• Assist with making travel arrangements
• Willingness and ability to work extended hours or weekends as needed to support occasional overflow of work.
• We are in a strong growth phase and it is our intention to have our team aligned in the same direction. All office members will be required to maintain daily training through our online program. This is watching 1 – 3 short videos per day.

You will be trained in our processes above and will be required to meet the time frames and Key Performance Indicators set forth by management.

Pay: $48,000.00 – $55,000.00 per year
