We are looking to engage the services of an experienced Executive Assistant to support our CEO and 2 Partners, ensuring effective communication and collaboration to achieve the company’s goals. Successful candidates will be offered a position as a result.This will be a 12 month fixed-term contract with the possibility of extension or permanency.

What to expect in this role

As an Executive Assistant, you will play a crucial role in supporting the CEO and 2 Partners, ensuring effective communication and collaboration to achieve the company’s goals. The role includes external liaison, internal engagement and working closely with all members of the operations, sales and delivery teams to deliver the best business services. Your attention to detail, strong communication skills, and proactive attitude will contribute to the overall success of our organisation.

Here Are Some Of The Duties You Will Perform

• Diary and Inbox Management: You will manage emails, schedules and ensure that appointments are well-organised. Your skills in prioritisation and communication will help streamline daily operations.
• Stakeholder Liaison: Collaborating with internal and external stakeholders will be a key aspect of your role. Your sensitivity and effective communication, both written and verbal, will contribute to maintaining positive relationships.
• Meeting Preparation: You will assist in preparing meetings by creating agendas, action items, and talking points. After meetings, you will follow up to ensure that action items are tracked and completed efficiently.
• Workflow Coordination: Assisting with workflow management, you will ensure tasks are completed on time and with the appropriate level of priority. Your multi-tasking abilities and problem-solving skills will be essential in this aspect.
• Written Communication: Your role will involve drafting minor correspondence, minutes, and other ad-hoc internal communication as directed. Your exceptional attention to detail will ensure the accuracy and professionalism of these documents.
• Travel Coordination: Coordinating travel arrangements will be part of your responsibilities, requiring effective organisation and planning.
• Expense and Timesheet Management: Manage the CEO and Partners’ expenses and timesheets are completed and submitted on time.
• Action Follow-Up: You will maintain all action items are on track, and perform regular follow-up to ensure that actions are progressing as planned.
• Filing and Document Management: You will oversee the maintenance of documents for our partners and CEO, both in digital and physical formats, ensuring easy retrieval when needed.

What Makes You a Great Fit

• You have a Bachelors degree or Diploma in Business Management or a related discipline
• Minimum of 4 years’ experience in an Executive Assistant role, preferably within consulting or the government
• Confidence and exceptional communication skills, both verbal and written.
• Time management skill and the ability to meet competing priorities.
• The ability to learn quickly and work effectively in a diverse and professional environment.
• A strong work ethic, accompanied by reliability and adaptability.
• A high level of effective stakeholder engagement and liaison skills.
• Strong multi-tasking and problem-solving skills.
• Excellent proficiency in Microsoft Office.
• Exceptional attention to detail.
