Events and Education Coordinator 2020
Local trade Association has resumed planning of events in 2022 and is renewing our search for an experienced dedicated professional to plan and manage them along with education classes. The right candidate must have a team-oriented approach that is collaborative and member-driven, and use their positive attitude and energy to motivate and build relationships with volunteer committee members and with other staff.
Job responsibilities:
· Responsible for creative, technical, and logistical aspects of Association business and networking events, and member education classes from start to finish while adhering to association policies, strategic plan, and any and all legal, health and safety requirements.
· Events and education classes will include both live and virtual as needed.
· Establish annual goals and business plan for events and educational programs for members in collaboration with management and other departments.
· Develop, implement, and manage annual events and education budgets, working closely with Association accounting department and supervisor to track event finances, sponsorships and expenses.
· Serve as liaison to a multitude of volunteer committees, planning and coordinating committee meetings, clarifying roles and responsibilities of committee members and staff well in advance.
· Effectively and consistently manage multiple calendars for all events, coordinating in advance. Monitor deadlines & overlapping timelines for multiple events.
· Manage logistics of events efficiently and effectively, including but not limited to contract negotiations for speakers and venues, A/V set-up, food & beverage, payment tracking and registration, attendance and promotion, all within department budget. Prepare virtual options in case an event cannot be held live.
· Cultivate collaborative relationships with affiliate members to promote participation and support of events; responsible for meeting sponsorship goals for Association offerings
· Promote member awareness of the Association and its events, marketing them via website, newsletter, broadcast email, and broadening social media. Design and manage all marketing and promotional pieces, including script for newsletters, association website, email and social media.
· Prepare written reports of each meeting and event, including agendas, minutes, and meeting materials in a timely manner; maintain project and event files, including written instructions and processes for the event. Conduct pre- and post-event evaluations with stakeholders and report on outcomes and recommendations.
· Update supervisor and communicate timely with committees and the Board of Directors, as well as event stakeholders, on plans, progress, potential issues and outcomes for meetings and events.
· Promote cooperative and productive relationships with management and other staff departments, along with related departments at state and national Realtors Associations.
· Create advertising revenue plan for Association’s communication media as a member benefit and source of non-dues income.

Applicants best qualified will have:
· Proven experience handling all aspects of events from planning stage to managing the event
· Recent experience transitioning meetings & events from live to virtual
· Technical skills in audio/video and online meeting platforms
· Experience and skills in creating social media marketing
· Ability to multi-task, work fast and juggle multiple committees or teams and multiple events
· Financial skills and experience with budget preparation and finance tracking
· Experience negotiating service contracts and pricing
· Skills in coordinating among departments, experience in reporting to various levels of management
· Advanced organizational skills; exceptional attention to detail with focus on accuracy and efficiency
· Ability to communicate effectively and be comfortable speaking to groups in meetings
· Ability to visualize events, anticipate and solve problems quickly
· Ability to work efficiently making best use of time and resources
· Experience working with volunteers
· Skills to build productive business relationships
· Familiarity with facets of both not-for-profit and for-profit corporations – helpful, not required.

Experience and Other Requirements
· Minimum 3 years progressive proven experience in event planning preferred
· Proficiency in MS Word, Excel, Outlook, PowerPoint, Publisher and other design apps and online registration, plus MS Teams, Zoom. Ability to learn customized membership software and database programs.
· Proficiency with social media marketing
· Experience with virtual meeting and event platforms
· Experience with various forms of registration technology, from manual to online
· Ability to lift and carry meeting materials and equipment and manage various facility setups, including physical setup at indoor and outdoor sites
· Occasional travel required throughout northeast Wisconsin to offices, meeting and event sites
· Personal vehicle, valid driver’s license, personal auto liability insurance required
· Ability to work during and outside of regular business hours M-F. Some events (infrequent) held in the evening, rare to have an event on a weekend
Position: Fulltime, salaried exempt. Association staff office is in Appleton; our members do business throughout northeast Wisconsin
