We currently operate 3 companies, real estate development, renovations company, and property management. This Executive Assistant will work for 2 executives across the 3 companies. This person MUST be incredibly organized, very efficient with technology, and have their own methods and ideas to keep the executives on track. The role of EA is to free the executive’s time from organizing and administrative tasks so that they can spend maximum time on strategic tasks. We are goal-oriented and have a determined vision to succeed..

We require someone who is an expert in organization and implementing systems.
Responsibilities will include (but not limited to):
Provide administrative support to executives, including managing calendars, scheduling meetings, and making travel arrangements.
Prepare and file documents, s, and correspondence.
Utilize electronic signature software, such as DocuSign, to facilitate document signing processes.
Manage and organize Outlook Calendar for executives.
Manage multiple email inboxes.
Transcribe meeting minutes and other important documents.
Assist with customer service inquiries and provide exceptional service to clients.
Utilize Google Suite for document creation, collaboration, and organization.
Proofread documents for accuracy and grammar.
Acting as office admin for the virtual office.
Managing diaries and organizing meetings and appointments
Organizing events and conferences
Reminding the manager/executive of important tasks and deadlines
Typing, compiling and preparing s, presentations and correspondence
Managing databases and filing systems
Implementing and maintaining procedures/administrative systems
Liaising with staff, suppliers and clients
Accounts payable/ receivable
Research
Organize home and car maintenance
Arrange and book travel
Book reservations
Keeping family schedule (doctor, massage, hair, home cleaners)
Every evening the executive will talk, the PA will write in the journal and ask the executive probing questions to get a better journal entry
Send personalized news and information on relevant topics
Skills:
– Excellent organizational and time management skills.
– Strong attention to detail and accuracy.
– Proficient in using office software programs, including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Slides).
– Ability to handle confidential information with discretion.
– Strong written and verbal communication skills.
– Ability to multitask and prioritize tasks effectively.
– Exceptional customer service skills.
