CUSTOMER SERVICE ASSISTANT –
Description: Non-supervisory, staff position in the agency’s Applications Office. The primary role of this position is to provide customer service to housing applicants, as well as general secretarial support to department staff.

Working hours: Monday – Friday, 8:00am – 4:30pm.
Essential Functions:
● Provides customer service by answering and/or returning telephone calls and emails. Greets, assists, and directs customers to the appropriate employee or department. Provides pleasant and informative reception to visitors and callers.
● Provides general clerical and other support to department staff and management.
● Prepares paperwork and assists with other administrative functions for Department Manager and Housing Specialists.
● Data entry
● Maintains confidentiality of all department information.
● Operates and maintains office equipment including printers, copiers, faxes, and other means of electronic devices.
● Assists with Spanish-language translation and interpretation for staff, as needed.
● Sorts and distributes incoming mail and correspondence between RHA offices and external parties or organizations.
● Prepares s, spreadsheets, and other documents at the direction of the Manager.
● Creates, organize, and/or maintains electronic and physical files. Performs documents shredding and/or purging at manager’s direction.
● Creates batch letters using mail merge and/or other platforms.
● Maintains inventory of office supplies and prepares requisitions for Manager.
● Proofreads varying types of materials to ensure that information is grammatically correct, complete, consistent and adheres to agency rules and regulations.
● Prepares monthly rent delinquency notices.
● Prepares notices and fliers in accordance with agency communications procedures.
● Performs other duties as assigned.
Qualifications:
● High school diploma or equivalent required.
● Clerical experience preferred.
● One year of experience in a related field preferred.
● Excellent communication skills including active listening.
● Service-oriented and ability to resolve conflict.
● Proficient computer skills with the ability to learn new software.
● Excellent verbal and written communication skills.
● Excellent organizational skills and attention to detail.
● Excellent interpersonal and customer service skills.
● Excellent time management skills with a proven ability to meet deadlines.
● Understanding of basic office practices, procedures, and equipment.
● Ability to type at 55 WPM.
● Ability to operate a calculator.
● Ability to understand and execute oral and written instructions with minimal supervision; willingness to request clarification as needed.
● Proficient with Microsoft Office Suite (Word, Excel, Outlook, Publisher) or related software.
