In this role, you will be responsible for executing multiple Talent Acquisition (TA) tasks including but not limited to onboarding and orientation responsibilities. You will coordinate and facilitate a valuable and memorable new employee virtual orientation for new hires. You will partner closely with the HR Learning team to ensure all policies and new hire trainings are completed and you will oversee the I-9/E-Verify processes, auditing onboarding steps to ensure Quad’s compliance and minimize risk.

This is a full-time position and will average 40+ hours per week Monday through Friday. The location for this position will be hybrid, remote and onsite occasionally for periodic meetings and as needed at our Sussex, WI corporate headquarters.

In addition to the competencies named above, the TA Project Specialist must be able to keep strictly confidential any information that arises during the course of work and exercise good judgement. The requirement for confidentiality applies to information the TA Project Specialist receives about Quad’s programs, policies, processes, etc., during the normal course of duties.

KEY RESPONSIBILITIES

• Facilitating virtual orientation for new hire employees.
• Auditing the current I-9 process for completion and compliance for all new hires.
• Developing and maintaining program documentation including SOPs, communication materials, etc.
• Managing questions through service cloud that arise from TA, HR, partners supporting HR, or employees.
• Troubleshooting onboarding and orientation related issues with TA or partners supporting HR.
• Evaluating, updating, and documenting onboarding/orientation processes.
• Developing and delivering training for the TA& HR teams and partners supporting TA processes in conjunction with Program Project Lead.
• Supporting the Program Project Lead with other TA initiatives

JOB REQUIREMENTS

Education:

• High School Diploma or GED required; BA/BS preferred

Experience:

• 2+ years of experience in an administrative/office role preferred
• 1+ years of experience in onboarding or related HR roles preferred
• Experience in public speaking is preferred
• Experience in working with the Form I-9 and E-Verify is preferred

Knowledge, Skills & Abilities:

• Excellent verbal/written communication and interpersonal skills
• Ability to make recommendations to effectively solve problems, using judgment consistent with standards, practices, policies, and procedures.
• Knowledge of Microsoft office, including Word, Excel, Access, Outlook, and PowerPoint
• Ability to schedule and manage tasks effectively
• Ability to focus on details, handle multiple tasks, and remain highly organized
• Strong team player with the ability to work well collectively and independently
• Ability to manage relationships at various levels within the organization as well as outside
