Position Title: Product Development Advisor
Department: Product Development and Publishing, Knowledge Exchange
Location: 480 University Avenue, Toronto, ON
Duration: Temporary – 12 month contract
Hours of work: Full-Time 36.25 hours per week
Compensation Group: AMAPCEO
Salary: $56,328-$73,414

Position Summary-
Working with the Senior Product Development Advisor, responds to requests for Knowledge Product (KP) support through the KP Publishing generic Inbox/intake form; monitors, actions and coordinates day-to-day communication among supporting Knowledge Exchange resources in support of end-to-end KP development from initial product intake to final website publishing.
Key Responsibilities-
Monitors and actions all daily email to the KP Publishing Inbox in support of end-to-end KP development including:
reviewing new KP requests and ensuring required document sets, and metadata are captured in the KP SharePoint library;
responding to content author and program area KP development process questions and support requests for routine knowledge products during content development (PHO KP templates, style guide, referencing and OADA compliance requirements);
referring requests for complex products for further action;
reviewing product posting requests and assessing posting tables for completeness and following up with content authors as required;
Ensuring all email to the KP Publishing inbox is categorized and filed into appropriate sub-folders daily.
Coordinating with supporting Knowledge Exchange team members to finalize KPs prior to publishing including:
sending KP to translation coordinator to verify translation timelines;
assigning KP for final KP review to ensure adherence to PHO template, formatting, referencing standards and for AODA compliance review;
coordinating with Library Services for referencing/disclaimer/citation review;
sending to publish and coordinating publishing with website staff;
liaising with Communications Services team for KPs requiring Ministry notification and dissemination plans;
notifying content authors and programs areas when KPs have been published on the website.
Ensuring the Product Development and Publishing team’s centralized repository of KPs is up to date at all times including:
creating documents sets in the SharePoint library when approved KP requests are received,
updating document sets to reflect status changes as KPs proceed through the development process to final publishing,
managing KP version control, creating SharePoint views, and supporting archiving,
Supporting scheduled weekly milestone updates and ad hoc requests for KP reporting metrics.
Supporting content authors and project coordinators by providing documentation and process training and serve as a KP development process subject matter expert including:
updating existing and developing new support documentation regarding KP development processes, workflows and responsibility matrices as required;
providing scheduled and ad-hoc support to Product Development and Publishing team and content authors regarding KP development workflow and sub-processes;
reviewing intake requests, posting requests and final KPs pre-publishing to ensure quality standards are met;
monitoring overall KP development processes for variance and compliance;
supporting process quality improvement reviews initiated as required by the Senior Product Advisor and Manager, Product Development and Publishing.
Conducts final KP review to ensure adherence to PHO template, formatting, referencing standards and for AODA compliance review as required.
Knowledge and Skills-
Strong project management, problem solving, organizational and prioritizing skills to plan and coordinate the development and publishing of products and resources.
Focused planning and organizational skills to independently undertake the planning and execution of several activities concurrently.
Strong analytical and conceptual abilities to manage the processes from development through to implementation.
Knowledge of quality assurance principles, to coordinate input and feedback to update and enhance the knowledge product development processes, supporting documentation and training materials.
Interpersonal, teamwork and relationship building skills; develop and maintain collaborative working relationships with PHO content authors, program areas and KP support resources.
Demonstrated experience using SharePoint 2019 including familiarity working with document sets, metadata, libraries and creating custom views based on business requirements.
Understanding of Accessibility for Ontarians with Disabilities Act (AODA) and delivering products to WCAG 2.0 Level AA standards.
Experience working within cross disciplinary teams in a matrix organization.
Ability to work under pressure and respond to deadlines in a fast-paced environment.
Proficiency with various software programs (e.g., MS Office, including Word, Excel, PowerPoint, Visio, Project 2003) and Adobe Suite.
Strong time management skills and ability to manage concurrent tasks efficiently with minimal supervision.
Education and Experience-
Bachelor degree in health communications, product design/development or related discipline and/or combined relevant experience.
Master’s degree considered an asset.
Up to 3 years progressive experience in knowledge product development and resource/tool development.

Demonstrates commitment to customer service throughout KP development cycle.
Coordination of SharePoint KP libraries, document sets and metadata for ease of access to data/information and to enable routine reporting.
Creates, promotes and maintains cooperative working relationships with all internal and external contributors in support of Product Development and Publishing team priorities and activity initiatives.
Supports continuous quality improvement approaches to KP Knowledge Development processes, workflows and support products.
Judgement to determine priorities while performing a variety of different responsibilities with conflicting and tight timeframes, and in responding effectively to fluctuating work load demands in a fast paced environment.
Ability to continually assess and re-prioritize activities based on emerging business requirements.
Ability to support ad hoc knowledge products request that vary from established, routine processes and workflows.
Problem solving to manage the development of KPs which vary from documented processes, workflows and managing variance.
Judgement is exercised in the support and planning of knowledge products, and in assessing “lessons learned” from previous challenges.
Accountable for producing high quality work, in a high-volume fast-paced environment. Providing incorrect or poor advice and recommendations on product development could negatively impact PHO’s reputation.
Ensures quality outcomes and products that comply with PHO’s polices and guidelines, FLSA and AODA legislation and advance our work.
