About Our Opportunity

The Secretary is a critical member of our service delivery team, providing administrative and secretarial support for staff across the department.

We have two (2) permanent opportunities available; located in our North Sydney and Sydney offices.

Primary Accountabilities

In the North Sydney office:

You will support the Regional Adoption Services team, where you will provide administrative support to the adoption and pre-assessment and recruitment programs. In this role, you will largely be responsible for answering calls from the 1-866 Adoption Inquiry line, providing general information about the process, and referring to the appropriate agency within the province.

In the Sydney office:

You will support the Disability Support Program (DSP) team, where you will provide administrative support to the DSP program serving adults with intellectual disabilities, long-term mental illness, and physical disabilities in a range of community-based, residential, and vocational/day programs.

In either opportunity, your key responsibilities include:

typing a wide variety of confidential correspondence, notes and reports with tight operational deadlines
inputting information to the Integrated Case Management System
filing, faxing, copying, scanning and retrieving files, as well as maintaining an efficient Bring Forward system
process incoming and outgoing mail, as well as managing calendars and scheduling meetings
responding to general inquiries and greeting visitors
and providing back-up for other team members, and handling receptionist duties

Qualifications and Experience

You will have a one (1) year business course plus a minimum of two (2) years of related experience.

You are a collaborative team player and have proficient skills in the use of a variety of Microsoft programs such as Word, PowerPoint, Outlook or equivalent. A working knowledge of the ICM system (or other case management systems) would be considered a definite asset. You will demonstrate the ability to work independently in a busy and challenging environment, along with the ability to exercise sound judgment around issues requiring a high degree of tact and diplomacy. Excellent organizational, communication (written and verbal) and interpersonal skills are essential to your success in this role.

We will assess the above qualifications and competencies using one or more of the following tools: written examination, standardized tests, oral presentations, interview(s), and reference checks.

Equivalency

An equivalent combination of training, education and experience will be considered. Related equivalencies may include, but are not limited to:

Three (3) years of related experience
A related two (2) year diploma and one (1) year of experience
A related bachelors degree

Additional Information

Two (2) permanent positions are available; one in Sydney, the other in North Sydney.

Working Conditions

Most of your time is spent in a comfortable office setting. Occasionally you may need to move or lift objects such as boxes or files. You will have daily contact with the public, various Government Departments as well as other local Agencies.

You must be willing to work flexible and adjusted work hours; and have the ability to lift file boxes onto and off of shelving in storage rooms.

Your normal work week is 35 hours/week, 7 hours/day.

Pay Grade: CL 14

Salary Range: $1,477.46 – $1,626.82 Bi-Weekly
