POSITION SUMMARY
This position is responsible for handling Customer Service duties between Bison Companies, including booking freight, providing updates, tracking and tracing, coordinating dispatch, tracking trailers and equipment, and supporting the Customer Service team. REASONABLE ACCOMMODATIONS STATEMENT

ESSENTIAL TASKS AND CORE RESPONSIBILITIES

• Book freight and negotiate rates to ensure all units are profitably planned with backhauls.
• Monitor the status of major accounts to ensure deliveries and picks are on time and the customer’s freight needs are met. As applicable enter accurate information to close out the load.
• Monitor and update customer websites to ensure Pottle’s is in incompliance with the customer’s established guidelines on accepting or rejecting tendered loads.
• Monitor and update the location and trip status of booked freight by reviewing the prior day’s dispatch and loads booked to deliver. Review voicemails and e-mails from the previous night. Note exceptions with a reason for the delay in McLeod and update the customer with information.
• Enter all current orders received via e-mail, fax, or EDI transmissions in McLeod.
• Ensure all orders are updated in McLeod with trailer numbers, delivery times, etc.
• Reschedule any late deliveries as advised by dispatchers, and follow up on service delays or failures with customers involved.
• Maintain trailer pool at drop customers and verify the steady supply of trailers to cover assigned freight.
• Follow up with customers on accessorial charges as they occur for detention, stop-offs, lumper, and loading/unloading charges. Ensure they are accurately recorded in McLeod for billing and payroll purposes.

POSITION QUALIFICATIONS: Skills & Abilities

• Computer Skills: Must be proficient in Microsoft Excel, Outlook, PowerPoint, and Word.
• Customer Skills: Must have excellent computer skills and be proficient with Microsoft Word, Excel, and outlook, along with the ability to adapt and learn new software as needed. Knowledge of McLeod software is a plus.
• Time Management: Must have the ability to work under pressure and to complete assigned time-sensitive tasks in a fast-paced constantly changing environment.
• Decision Making: Ability to make critical decisions while following company procedures.
• Communication: Ability to communicate effectively orally and in writing.
• Data Entry: Ability to accurately enter data and update information across multiple platforms in real-time.
• Organizational Skills: Ability to simultaneously manage multiple priorities, meet the time-sensitive deadline, and effectively manage change. Requires attention to detail and the ability to follow through.
• Conflict Resolution: Ability to deal with other professionals in a potentially contentious situation.

EDUCATION AND EXPERIENCE
Education:

• High School Graduate or General Education Degree (GED) – Required.
• Associate or bachelor’s degree (College or Technical School) – Preferred.

Experience: Prior Customer Service experience is required. Experience in Transportation Preferred.Certifications & Licenses: None
PHYSICAL ABILITIES

This position requires the ability to sit for extended periods, and the ability to use hands or fingers to handle and reach. Requires dexterity sufficient to enter data and communicate electronically. Must be able to hear and speak to communicate sufficiently by telephone and in person, see sufficiently to examine documents, and view a computer monitor. The position also requires the ability to stand, walk, and frequently lift up to 10 lbs.
