Position Summary We are looking for an exceptional Manager, Project Management Office (PMO) to fill in one of the key roles in our newly emerging and evolving Enterprise Project Management Office (ePMO) and Centre of Excellence (COE). Our ePMO & COE is going through a transformation to become a modern, new age leader in our industry and become a PMO where innovation meets efficiency. We are looking for experience but more so a special type of personality to fill in this very exciting but critical role. The Manager, Project Management Office (PMO) will be part of the PMO Leadership Team (PLT) and will be reporting directly to VP, ePMO & COE. In this role, you will be playing a key role in three different areas; first and foremost, you will be working collaboratively with the PMO Leadership Team (PLT) to lay the foundation of the new project management framework, including defining structure, process, templates, technology and the key performance indicators (KPI’s) for the projects and overall PMO. You will also partner with the stakeholders and project managers to educate them on the new framework, promote adoption and enable them to execute on their priorities. Secondly, you will be responsible for the day to day operations and people management, including resource forecasting, planning and allocation, portfolio management, reporting, performance management and others.

Thirdly, you will be acting as a player coach and will manage some projects on your own as well. You will need a deep understanding of project management principles; complete comprehension of time, cost and quality metrics in the PMO world, an acute financial acumen to assess profitability of the projects in a consulting environment, some google sheets wizardry, ability to make magic with financial reporting tools and spreadsheets, ability to tell meaningful and succinct stories with data and numbers through reports and presentations and last but certainly not the least ; a positive and delightful demeanour to further enrich our culture of “playing hard and working hard”. Roles & Responsibilities Foundation Building • Build and maintain project and portfolio delivery framework including processes, tools, templates and best practices • Implement project governance, from initiation to closure, to adapt to the evolving environment • Develop and manage plan of action to improve project efficiency with stakeholders • Promote project management training and other learning initiatives Team Management • Lead, inspire and evolve the PMO team and develop project management expertise • Collaborating with PMO Leadership Team (PLT) to define governance structure and rules of engagement with project teams, internal and external stakeholders. • Responsible for capacity and resource forecasting and planning based on the data on current projects resource utilization and projects in the pipeline.

• Manage the project portfolio (prioritize project, annual budget planning, address duplications) • Owner and Accountable for weekly project portfolio reporting/ dashboards for the ePMO to both internal and external stakeholders. Weekly project portfolio reporting involves consolidation of all project status reports from project managers with time, cost, quality, profitability and other defined KPI’s. • Champion a project management culture • Manage relationship with other groups on common projects • Conduct project review with project team & executives • Manage project/program governance • Monitor analyze and report project and portfolio performance • Validate project manager skill levels and project complexity classifications • Provide support/coaching to PMO team members Project Management • Lead cross-functional, multi-site project teams composed of employees, contractors and external vendors in support of several concurrent projects and initiatives • Set up and maintain project plans for several projects and report status against project gates (financial, resources, deliverables, etc.) throughout the life of projects. • Measure, manage and report on project health according to the defined reporting standards, KPIs, governance structure and rules of engagement • Creates and promotes a positive work environment where people are on-side, feel a collective sense of accountability, and are recognized for success • Committed to ensuring a high level of stakeholder satisfaction through prompt and efficient communication and proactive support • Work directly with leaders to document planned change, analyze dependencies between departments, and consolidate into a single change management plan • Ensure change communication is effective, timely, and repetitive • Responsible for capacity and resource forecasting and planning based on the data on current projects resource utilization and projects in the pipeline.
• Set up project plans for several projects using project management tool/JIRA/Time tracking tools • Maintain plans and status against project gates (financial, resources, deliverables, etc.) throughout the life of projects Key Skills and Competencies • Bachelor’s degree in business administration or related field. • 10+ years of Project Management or Professional Services experience in a global organization • 5+ years of experience in a management role, with direct reports, with activities related to career pathing and PM coaching/performance management • 5+ years experience in leading application development /Software/ Hardware/ Infrastructure and complex integration projects. • Proven experience at bringing strategy into plans into executable actions • Proven experience at leading or helping grow a PMO department, including development and rolling out of of standards, processes and tools • Comprehensive knowledge of project/program management methodologies and tools, including Agile and Waterfall. • Experience with project management and progress tracking tools (MS Project, Smart Sheets, JIRA/Wiki/Confluence).

Experience with other Atlassian family of tools is an asset • Understanding of financial principles including project control measures (Earned Value, Cost Performance indicators) • Ability to manage and forecast project budgets, to report on project financials, and to ensure timely and accurate invoicing • Ability to review/validate estimates for both schedules and budgets. • Skilled in G Suite (e.g. Sheets, Slides, Docs) and willing to learn additional information systems and or software • PMP certification an asset, SAFE/Agile experience preferred • Experience with eCommerce and related software deployments preferred • Experience with hardware migration, DevOps platforms, infrastructure implementations preferred • Experience with security audit projects, PCI compliance type initiatives preferred Pivotree is an equal opportunity employer.
