Reporting to the Senior Pre-Fabrication Manager but working collaboratively with the Inventory Control Manager and the Accounting Manager, the Shop Administrator is responsible to develop, implement, and then oversee a variety of administrative and financial policies and procedures of the Shop environment. In some cases, the Administrator will perform a variety of those administrative and financial tasks for the shop team.

Specifically, the Shop Administrator will…

• Ensure that all administrative policies and procedures are in place and followed
• Ensure that all staff are trained on the appropriate administrative and financial procedures
• Take responsibility for the effective administrative oversight of all aspects of Shop operations
• Assuring accuracy and validity of inventory balances
• Ensuring accuracy and timeliness of Shop payroll reporting and the recording of hours worked
• Maintaining attendance and safety reporting requirements
• Maintaining the accuracy and timeliness of all orders input into the accounting system

• Take minutes at meetings as required
• Write and distribute email, correspondence memo’s, letters, forms etc. as directed
• Assist in the preparation of regularly scheduled reports
• Work collaboratively with the sites and the office on all shop administrative details and requirements including the creation of a modified policy manual to help new and existing employees understand shop processes
• Participate in a LEAN manufacturing culture
• Perform other duties as required

Education & Experience

• Previous experience as an Administrative Coordinator or Manager
• Proven ability to develop, implement, and follow administrative policies and procedures
• Understanding of basic accounting and financial matters, such as invoicing and timecards, as they relate to administrative policies and procedures
• Proficient in various software packages including Microsoft Office, Dropbox etc.
• Previous experience working in a manufacturing environment would be considered an asset
• Previous experience in management and inventory control would be considered an asset

Work Conditions

• This is a full-time position
• Manual dexterity is required to use desktop computer and peripherals
• Overtime as required
