EXAMPLE OF DUTIES
Continue the process of cleaning data and creating essential reports for the Office of the Registrar.Formulate policy recommendations, procedures and processes to improve overall operations. Develop short- and long-range plans. Perform needs assessment and evaluate effectiveness of current systems, programs and activities. Creatively research and use state-of-the-art technology in the delivery of services and programs that meet high customer satisfaction levels with a student growth mindset. Develop and implement related changes or adjustments. Keep abreast of current trends and practices of assigned area.Monitor compliance with College policy and possible contractual agreements. Ensure internal practices are following College practices and any applicable federal and state regulations. Evaluate progress of work in department. Institute changes to achieve operational efficiency. Maximize productivity with available human and other resources.Serve as the custodian of the records for students and ensure compliance with FERPA and other regulatory bodies (i.e. Department of Education).Process graduation audits and evaluations of student records to ensure that general education and specific program requirements are completed before conferring degrees, certificates, and diplomas; review and make decisions about student records when conflicts arise. Monitor all enrollment activities in partnership with other departments.Monitor the accuracy and consistency of evaluation of transcripts from accredited colleges and universities in the United States and other countries; award elective or equivalent credit for eligible courses, as appropriate.Responsible for monitoring the posting and updates of Pierpont course equivalencies for transfer students and other institutions.Work with the Office of the Vice-President of Academic Affairs/Student Services to plan and coordinate the Commencement ceremony; issues diplomas and certificates after a final graduation audit. Ensure practices are in place to review and determine petitions for out-of state status for students who change residency after address change. Establishes review procedures to correct status of students enrolled with wrong codes. Hear and resolve appeals regarding graduation issues, grade changes, grade point averages, course equivalencies, transfer creditProvide and present reliable information to faculty and deans regarding grades, incompletes, articulation, degrees and certificates, advising issues, publications, and transfer of courses.Implement and conduct training for technology services, including the degree works module. Maximize the functionality of the degree works module by identifying individual/groups of students that may be close to or exceed graduation requirements to increase graduation rates. Work collaboratively with members of Student Success Services, Academic Affairs, Institutional Research and Information Technology Services (ITS) to implement and maintain record retention strategies, enrollment management, operational planning and statistical reportingUse Banner, the National Student Clearinghouse and other existing programs to track transfer rates, graduation rates, withdrawals, course completions, and program completions. Develop document imaging processes and flowcharts for student records, to include but not limited to, external transcripts, graduation audits, grade changes, and address changes. Monitor and implement with a student growth mindset, the academic status and progress of students placed on academic probation and/or academic probation and re-enroll students and/or chair a Re-Admission Review Board. Provide statistical analysis of student traffic, student trends, student success rates, and forecast future technologies and improvements to satisfy student needs. Serve as a resource person and recommend solutions to specific records related problems for administrators and offices across campus.FERPA Observes and obeys appropriate privacy guidelines and maintains confidentiality of all records.Provide a strong working knowledge of state and federal compliance mandates and proven leadership in FERPA compliance, training of staff and faculty, and of best practices related to students’ records.Manage records and academic policy enforcement and complex operations and projects.
MINIMUM QUALIFICATIONS
Bachelor Degree required, master degree preferred. Three (3) years of experience in higher education related to administration of student records and two (2) years of demonstrated leadership and supervisory responsibility.Demonstrate a high commitment to accountability, ethics and integrityKnowledge of degree audit systemsHigh level of written communication skills, including drafts of college policies, brochures, handbooks, letters to students, summaries of projects, and sections of the college catalog
