PBNA Design process organization and process excellence of budget, design ops, project tracking, and content fascilitation for PR/Comms/Awards process.

Responsibilities:

• Leadership (in partnership with security and HR) on office safety procedures, policies, education and roll out of plan
• Key communicator to design team of leadership team announcements, office-related updates, closures, etc
• Management of records IP for design including tracking large meetings and needs for customers and partners
• Organize and maintain 350 Hudson-related design files & key contacts lists
• Creation of calendar for holidays and key events for executive leaders as well as holiday calendar invites for NYC-based design team
• External Partner/Vendor Execution Mgmt. e.g., Onboarding, MSAs, SOWs, POs and Invoicing plus central Budget Finance Management needs of CDO
• Partner with lead admins for co-located functions as needed for centralized management, workshop coordination, scheduling, external guest access to facility
• Assist with helping in management and overall connectivity of support staff that has full office roles including greeters, day matron, security and FM’s
• Management of timing and information flow across office as needed
  Liaison between HR and PepsiCo HQ to ensure events are being coordinated from ensuring closures to weather to organization of on-site events, flu shots, United Way, Health Fairs, etc
• Support with onboarding of team members
• Work with IT to create management system for IT equipment to ensure all PepsiCo property is organized and managed and ensure there’s reconciliation system
• Work with Green team to execute on sustainable strategies including events that would require execution of test and learn
• Process facilities P card expenses and work with other admins to ensure proper utilization of finance and ing
• Partner with facilities to manage & inventory basement storage in coordination with eComm/CLS to share space
• Provide executive assistant support for SVP and VP – from calendaring to travel to expense ing to overarching support and administrative leadership for the function
• Manage large and broad scale meeting efforts and coordinate with key members of the team including facilities and high-level administrators as well as outside meeting planners for design specific needs
• Provide overarching support for Design Function inclusive of management of assistants as well as management of logistics for events, visitors and customers for design
• Management of calendars and schedules, travel etc.
• Scheduling of meetings across design leadership and management of meetings in support of team’s strategic priorities
• Coordinate group meetings for CDO– eg. Pizza making/culture lunch and influential outside inspirational speaking series

• Organizing timelines, milestones, and resources
• Meet with the teams regularly to ensure all deliverables and timing are accounted for
• Coordinate with internal teams to ensure projects are on time and appropriately resourced
• Manage overall group design budget and coordination with external vendors and finance
• Communicate and coordinate with Design LT on process and needs of
• Agency/Design work & projects
• Organize all assets that are easily accessible by the entire design team

• The expected Compensation range for this position is between $62,700 – $104,850
• Location confirmed job-related skills and experience will be considered in setting actual starting salary

Qualifications:

• Bachelor’s Degree
• 1-4 years of experience in working with design and creative teams
• Business acumen combined with knowledge of the design function.
• Should have experience and in-depth exposure to design.
• Effectively communicates (verbally and visually) with internal and external stakeholders across all levels, with strong presentation skills.
• Must have a positive and outgoing personality that commands the attention of people from multiple functions.
• Must be organized
