WORK HOURS

Normal work schedule is: 8:00 am to 5:00 pm with a 1 hour lunch break. Occasionally, during our busy season, additional hours may be required to meet our business needs.

ESSENTIAL DUTIES AND RESPONSIBILITIESinclude the following. Other duties may be assigned.

• Responsible for efficient communication, harmonious interaction and support of co-workers and management team members.
• Contacts or responds to Service and Sales personnel to obtain or provide information and direction.
• Researches past work orders in BlueCow software and DocStar to resolve problems.
• Effectively dispatches jobs to Technicians.
• Schedules work for the Service Technicians in the computer system by using the computer dispatch scheduling. (BlueCow)
• Continually checks department voice loop, shared department email & Answering Service E-mail.
• Performs other tasks as assigned by Manager to provide general support to company operations.
• Reviews log notes daily.
• Assists in performing the core tasks of other personnel within the department as needed in their absence.
• Runs Tank Guard and schedules addition of additive via work orders and is the point person for claims submitted from customers with Tank Guard
• Monitors supply of service agreements and communicates when additional supply is needed.
• Check daily for Dig Safe requests and schedule line locating as needed.
• Validates equipment check forms ensuring delivery hold is added or removed in the system accordingly along with the proper signatures and sign offs on the forms as well as all the equipment is separated on the customer’s account.
• Works failed gas check and equipment check . Follows up with the customers and the Sales Department as needed. Along with sending the accounts to be closed if no contact from the customers.
• Reviews the Service Schedule a week out & day before for travel issues with technicians. Adjusts schedule as needed.
• Reviews & schedules install of special-order part immediately upon notification.
• Assists in communicating with customers on billing inquires that have to do with Service.
• Maintains and always promotes company brand guidelines and core values.
• Communicates with the delivery team for emergency equipment and gas checks scheduled for that day.

SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities.

SAFETY Working safely is a condition of employment. Employees shall verbally and photograph all crashes / injuries to their Manager immediately. If your Manager is not available, the crash / injury to the Safety Manager or another Manager, or Human Resource Manager.

EDUCATION/EXPERIENCE Associate degree; or three to five years related experience/training.

LANGUAGE SKILLS Must speak fluent English. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine s and correspondence. Ability to speak effectively before groups of customers or employees of organization.

COMPUTER SKILLS

Microsoft Office suite: Word, Outlook, PowerPoint, Excel. Must be able to run s in all software programs we use. Ability to quickly learn our computer software. Use Google Drive and search the employee intranet.

MATHEMATICAL SKILLS Able to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.Must be able to respond to emergencies quickly and efficiently.
