Accounting Director

Status: Full-time

Responsibilities:

Financial:

• Directs and participates in all phases of the preparation of complete, accurate and timely financial statements and reports for management staff, community executive directors, external auditors and financial or regulatory institutions.
• Completes and maintains of all accounting functions for Ovation. This will include account reconciliation, budgeting, audit preparation, and monthly, quarterly, and yearly financial reporting
• Manages the maintenance and reconciliation of a variety of ledgers, reviews and corrects accounting transactions to ensure accurate recording, balancing, and classification of income and expenditures to proper accounts in accordance with GAAP and Ovation internal procedures.
• Reconciles intercompany transactions monthly; allocates expenses among internal entities. Bills management fees to appropriate entities.
• Reviews and verifies the reconciliation of bank statements, fixed assets, accounts payable, payroll accruals, prepaid assets, and accrued expenses on a monthly basis. Performs continuous audit and reconciliation procedures to ensure the validity of balance sheet accounts and prepares and enters journal entries
• Assists with the budget development and administration process.
• Prepare and enter journal entries for AR, AP, Payroll.
• Review P&L repairs and maintenance accounts to ensure proper recording.
• Reconciles fixed assets, accounts payable, prepaid assets, and accrued expenses monthly.
• Prepares financial and payroll activity studies, reports, and statements as directed.

Cash Management:

• Provides statements and reports for management staff, external auditors, and financial institutions regarding cash flow management and projections
• Completes all cash management set-up documentation for new and existing department processes.
• Develops and manages systems for the effective collection of revenues and payment of obligations.
• Reviews and drives improvements in cash management, ensuring financial obligations are met in accordance with company policies and procedures.
• Works with internal teams to forecast timing and amount of future cash flows over the next two years.

Payables:

• Code and process all properly approved invoices
• Verifies payments before approvers signature is added by reviewing checks and vouchers
• Ensures correct payments are made in a timely manner.
• Ensure cash management for payables
• Analyze expense reports and other invoices for accuracy and eligibility for payment.
• Prepare monthly A/P Accrual report.
• Facilitates correct and timely preparation of budget reports and purchase journals.
• Ensures proper recordkeeping of purchases for use in tax preparation and periodic audits.
• Ensures employer identification numbers or social security numbers have been collected from all vendors and prepare and submit 1099s.
• Develops and maintains working, business relationships with key vendors and providers, communicating any errors or questions on invoices as appropriate.

Fixed Asset Management:

• Daily review and approve capital expenditure requests and determining if they are capitalizable or expense items and that the request contains the appropriate support.
• Enters all assets into our asset program ensuring proper book and tax lives and depreciation methods.
• Maintain and reconcile fixed assets for the property.
• Assists in the preparation of the annual personal property tax returns.
• Maintain capital lease schedule and perform lease analysis when necessary.
• Maintains capex tracking for monthly fixed asset activity

Qualifications:

• Bachelor’s degree in Accounting, Business Administration or a closely related field.
• Must have at least 3 years experience in a similar position.
• Knowledge of generally accepted accounting principles and procedures and their application to a variety of accounting transactions and problems.

• Thorough understanding of accounts payable functions.
• Strong analytical skills and the ability to evaluate and solve problems with minimum assistance.
• Understanding of modern office methods, practices, procedures, and equipment including automated financial management systems.
• Proven capability for effective use of computer systems including spreadsheet, word processing, and accounting software.
• Excellent organizational and time management skills in order to maintain accurate records and meet deadlines.
• Excellent communication and verbal skills (both written and oral) in order to effectively problem solve with other employees, all levels of staff, and external third parties.
• Must maintain a high standard of confidentiality and honesty. Must work effectively as a team member, with management staff and must be able to work independently and/or unsupervised
• Demonstrable accounting, math, and computer skills, including familiarity with the Microsoft Office suite of software.

Preferred Qualifications

• Advanced degree in Accounting or Business Administration
• Certified Public Accountant strongly preferred
• Prior experience with Accounting and Payroll software.
