Job Purpose

Provide administrative support to VP of Operations, Technical/Maintenance Director and Operations Director at the Bay City Plant. This professional will prepare s, respond to correspondence, coordinate meeting details and provide presentation materials as requested, coordinate and oversee domestic and international travel arrangements and expense ing. Perform various clerical, administrative and general office duties including word processing, invoice coding and tracking, file and records management, budgetary tracking and reception duties. Oversee and support corporate activities including various internal and external events, engagement/communication, receiving visitors and general office administration.

A critical aspect of this role will be to maintain confidentiality with all daily activities and assignments and the ability to handle multiple tasks supporting a large size organization.

Main Tasks And Responsibilities

• Provide administrative support to the following: Vice President of Operations, Technical/Maintenance Director, Operations Director in the preparation of various s and presentations, performing data analysis as needed, various other related initiatives and ensure complete accuracy of final products.
• Coordinate and perform complex administrative tasks, often of a confidential nature, using department procedures and policies. Prioritize own workload and establish administrative methods and procedures for functional area and related administrative support.
• Coordinate and manage domestic and international travel arrangements, prepare travel itineraries and prepare/submit expense s.
• Compose and prepare detailed s, presentations, meeting minutes, and spreadsheets, including the use of graphics and text art. Includes researching and assembling information and materials from various sources.
• Maintain a favorable working relationship with all company employees to foster and promote a cooperative and harmonious working environment.
• Proactively manage requests and schedules to appropriately accommodate and prioritize meetings, conference calls and interviews.
• Assist Executives in planning and organizing internal and external meetings by taking responsibility for location, accommodating technology requirements based upon participant needs and all other meeting logistics. May further prepare meeting briefing documents by taking and disseminating notes and formulating post meeting action item list.
• Analyze internal processes, recommend and implement procedural or policy changes to improve operations.
• Complete expense s and reconcile company credit card monthly statement on time and in full, ensuring strict adherence to company policies for approval.
• Maintain a high regard for personal safety, for the safety of company assets, employees and the general public.
• Research and resolve a wide range of problems in accordance with department objectives, using discretion and sound judgment to facilitate workflow.
• Coordinate with other administrative assistants to provide cross-functional support and operational standardization when necessary.
• Perform other office administrative duties as assigned by VP Operations, Technical/Maintenance Director and Operations Director as needed to support the group/organization.
• Occasional support outside of normal business hours will be required.

Working Conditions (Physical And Mental Requirements)

• Primarily computer driven work with requirement to be able to remain in a stationary position approximately 50% of the time.
• Frequently moves boxes weighing up to 20 pounds across office for various needs.

Education Requirements

High School Diploma required; Bachelor Degree Preferred

Language Requirements

Fluent English

Background, Experience, Competencies And Skills

• Minimum of 5 years executive administrative experience or 10 years of administrative support experience managing multiple tasks and handling confidential and sensitive information with tact, diplomacy and sensitivity
• Strong verbal and written communication, interpersonal and organizational skills to interact with employees, customers and vendors, across all levels of the organization, both in the U.S. and abroad.
• Strong focus on customer service and addressing customer problems with courtesy and professionalism.
• Ability to organize and prioritize daily work and multiple projects simultaneously with limited guidance.
• Ability to maintain confidentiality of sensitive information and ability to exercise discretion when handling confidential information.
• The ability to work in high stress situations and to work with people with driven personalities while maintaining focus.
• Demonstrated proactive approaches to problem solving with strong decision-making capability.

Desired Qualifications

• Bachelor’s degree preferred or equivalent experience.
• Excellent organization and time management skills.
• Analytical with strong attention to detail and accuracy.
• Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, MS Teams/SharePoint and SAP
