The Position:

We are looking for an individual to help assist our accounting manager maintain the financial transactions of our business and our clients. This includes but is not limited to preparing invoices for clients, drafting AP vendor bills, reconciling financial records, and maintaining client databases.

• Position begins at 20+ hours per week with the potential to move to full-time
• Flexible schedule with in-office and/or remote work locations (West Coast hours)

• Compensation range of $25-$35/hr, based on experience

Qualifications:

You are a solution finder and proactive contributor. You can find answers independently and are driven, efficient, and hyper detail-oriented. You must be comfortable in a fast paced environment with deadlines and constantly moving targets. Along with being an all-out rockstar, it would be ideal if you have the following qualifications:

• Associate’s degree in Accounting, Bookkeeping, Finance, or similar field
• 2-5 years Experience in Accounts Payable and Accounts Receivable transactions with project based jobs and contractors
• Experience with Trust Accounting
• Experience in client databases and bookkeeping software like Airtable & Smartsheets and Xero & Bill.com
• Intermediary-level experience with Excel
• Experienced in Google Suite, including Drive, Gmail, and Gsheets
• Experience with working in a collaborative email inbox
• Experience in payroll processing is a plus

PRINCIPAL DUTIES AND RESPONSIBILITIES:

• Proactively monitors open projects and supports the account managers to ensure invoices are sent in a timely manner and follow up is done as needed
• Communicates and interacts effectively with internal and external business contacts including, but not limited to, other members of the unit/team, (such as managers, supervisors, and support staff), contractors, and vendors.
• Maintain confidentiality regarding internal policies and procedures, client financial data and vendor personal information
• Verify financial data between multiple systems
• Highlight & research discrepancies by project / client / POs / etc
• Understand how different systems communicate with each other and trigger next steps & actions
• Reconcile Trust Account balances
