Job Description

Purpose of the job

Work as part of a team to carry out HR and payroll activities across the region with particular focus on supporting the North America and Caribbean regions, to include maintaining HR systems and data management platforms.

The working hours for this role will be afternoons & evenings to align with the Americas working hours.

Main responsibilities

Payroll:

• Work with our outsourced payroll service provider to deliver a timely, accurate payroll service with a focus on North America and Caribbean employees.
• Maintain and manage payroll processes and systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions focusing on the US (multi-state), Bermuda, Cayman and BVI.
• Apply and set up State, Local and Unemployment Payroll Tax IDs for tax filing
• Coordinate and evaluate workers’ compensation for employee classifications
• Process transactions of the 401(k) plan to include enrolment, deferral changes, terminations, loan repayments, semi-monthly payroll submissions and review annual reporting of 5500SF form alongside TPA
• Provide information to auditors as required.
• Create and maintain payroll manuals and workflow chart to coincide with payroll procedures
• Act as liaison between payroll and finance regarding all payroll matters

Benefits:

• Manage and administer all company benefits programs including health insurance, pension plans, including enrolment, status changes, terminations, and leavers.
• Ensure staff benefits are processed and managed.
• Act as a benefits liaison between employees and providers to facilitate enrolments and respond to queries.

Human Resources:

• Update and administer HR and related systems.
• Ensure employee personnel files are compliant and up to date.
• Manage the personal time off/holiday communications and tracking.
• Maintain organisational charts and employee directory.

Qualifications

• Minimum of 2 years’ experience in a Payroll administrative role.
• Experience in US and Caribbean payroll is preferred.
• Experience administering Benefits is preferred.
• HR Administration experience would be an advantage, however, willingness to work across the spectrum of HR lifecycle processes is essential.
• Highly numerate with a systematic approach to problem solving and strong attention to detail.
• Strong verbal and written communication skills.
• Excellent time management and organisational skills
• High level of PC literacy in Microsoft Office Applications including Excel, Word, PowerPoint and Outlook
