Job overview
This post will focus on supporting the delivery of the Widening Participation Teams outreach programme and projects. The post holder’s primary duties will be to provide support to external stakeholders and Job Centre clients interested in working within the NHS, and to plan and execute NUH careers events for NUH’s local community. This role is very rewarding as the post holder will be supporting people to achieve their career aspirations.
The post holder will have excellent organisational skills, initiative, time management skills and personal credibility. The post holder will support the Widening Participation Team and the associated wide programme of activities through, for example, setting up and maintaining programme and project documentation, being a useful point of contact for internal and external stakeholders, monitoring risks and achievement of milestones through the production of regular ad hoc reports and supporting/facilitating meetings and allied events.
The post holder will provide management administration support including organising meetings, producing minutes and agendas to a high standard, compiling reports and be able to manage multiple diaries effectively.
The post holder will be able to communicate effectively at all levels of the organisation and resolve any issues themselves, escalating where appropriate in a timely way. A flexible, can do approach as well as excellent team working, engagement and inclusion skills are key requirements.

To be visible within partner organisations, such as DWP Job Centres, and employment support organisations, to engage with prospective employees of NUH; providing the support they need to successfully apply and gain employment with us.
To be aware of issues and barriers faced by the local community who wish to access health and social care careers and work experience opportunities and ensure that diversity is an inherent part of the programme delivery.
To create a central repository of presentations, interactive session material and resources to use in recruitment which is available to staff within NUH.

Detailed job description and main responsibilities
Create, maintain and monitor comprehensive spreadsheets/databases tracking all activity regarding recruitment outreach work. Providing regular reports on this activity, as directed.
Monitor and confirm that data and information is being received in a timely fashion and meaningful format, ensure data and information is stored securely and handled in a manner that maintains confidentiality and complies with relevant policies and procedures.
Support and mentor candidates during the recruitment process offering information, advice and guidance when required.
Ensure complex information key to the programme and projects is compiled, managed and updated and communicated to the highest level of quality and accuracy, including the preparation of reports, flow charts, presentations and other associated programme and project documents as required.
Maintain an accurate appointments diary to efficiently manage and co-ordinate the time of the project teams and provide day to day diary management as required.
Responsible for the co-ordination and organisation of all associated project meetings, including preparing and issuing appropriate papers, developing agendas, attending the meetings where required and producing timely action notes and minutes.
Responsible for monitoring and co-ordinating the actions for programme meetings, collating updates and challenging as appropriate.
Implement and maintain systems and processes to support the programme and projects and use robust organisational procedures to develop a flexible and adaptable centralised administration support. This will include Programme and project plans and logs including those documenting Risks, Issues, Actions and Decisions.
To act independently and on own initiative, within agreed authority, ensuring that daily tasks and ongoing work priorities are completed within agreed time scales.
To undertake an annual appraisal to identify any necessary personal development required to meet the objectives of the Team, and to further develop the post holder’s skills, knowledge and role.
The post holder will be required to undertake mandatory training as and when required, and monitor and arrange updates as necessary to ensure compliance.

Salary: The quoted salary will be on a pro rata basis for part time workers.
