People (Workforce) Planning and Transformation is a function of Human Resources, its primary purpose is to develop a workforce plan for the organisation, enabling the organisation to have an inclusive workforce which is responsive to changes in care, both now and in the future.
Workforce Planning is essential at Nottingham University Hospitals (NUH) to ensure we have the right people with the right attitudes, behaviours, values, skills and experience providing care and support. The post-holder’s main responsibility is to provide comprehensive project support to the Team working on a range of projects around Workforce Planning and Transformation. This role will include working closely with senior colleagues and the wider teams across NUH.

Main duties of the job
The post-holder will support the People Planning and Transformation Team in such tasks as:
Provide an efficient and comprehensive project and administrative support service
Assist in the planning and delivery of agreed project deadlines and events
Setting up and maintaining project documentation
Producing regular and ad hoc reports
Key point of contact for internal and external stakeholders.
Delivering training
Analysing and preparing reports using ESR data and other sources
Engaging with diverse audiences
Monitoring the achievement of milestones
Supporting meetings and events
The role will require strong planning, organisational, negotiating and analytical skills to ensure effective engagement of all parties/stakeholders and co-ordination of projects

Support the PPTT managers to investigate the causes of any variation from target/plan and proactively contribute to implement solutions.
Deliver proactive support to the PPTT and complete individual work on projects (both solely and in a supported capacity) as required.
Intelligence gathering (qualitative and quantitative) to support report writing, bids and business cases
Work flexibly and adapt to situations as they arise using judgment and initiative to make informed decisions, in line with flexible working arrangements
Plan and organise own time and able to make decisions on the prioritisation of their own workload without referring to line manager
Act as first point of contact for enquiries for projects and PPTT related events from all internal and external stakeholders and have the autonomy to make decisions on behalf of the team as necessary.
Ensure key project information is compiled, managed and updated to the highest level of quality and accuracy and within a timely manner. This will include the preparation of reports, flow charts, presentations and other project documents.
Take a central role in communicating information regarding projects/work programme or activities to a range of audiences, including maintaining and updating information displayed on the Trust website, intranet and social media and internal HR communications.
Organise meetings and events for projects (both virtually and physically), which may include co-ordination of venues and speakers, helping to prepare supporting information and documents, creating agendas and taking minutes.
Maintain project information systems and produce documents and regular ad hoc reports for the PPTT and other senior managers as required.
Access to and a clear understanding, including ability to run reports from ESR, Business Intelligence will be expected along with ability to develop Excel spreadsheets/databases/solutions for both monitoring and reporting on projects
Support the PPTT and wider HR community with aligning the workforce plan to our Trust Strategy, People Strategy, National People Plan and ICS Workforce plans
Collect, collate, record and analyse data to set baseline (for evaluation purposes), monitor progress and to evidence the impact of projects.
Support the development of departmental or Trust wide policies and procedures.
Monitor project risks and resolve any day to day issues using own judgement to select the most appropriate solution, ensuring that project issue and risk logs are updated as appropriate.
Communicate with key individuals and use negotiating/persuasive skills to gain solutions to project issues, using own initiative.
Maintain constructive relationships with a broad range of internal and external stakeholders.
Plan and organise own work to meet set deadlines managing, at times, any unpredictable work patterns as best as possible, being adaptable to priority requests.
Suggest and support improvements to current management information, analysis and reporting to enhance decision making processes.
Support the inclusion of all relevant evidence/research and best practice, as a key information requirement, into all project documentation.
Develop knowledge and keep updated of relevant national/local strategies and policies and local improvement programmes.
Regularly use IT systems such as Microsoft Office, Word, Powerpoint, Excel and in-house Trust systems to manipulate data to produce key reports in a variety of different formats
Manage the ordering process of any necessary project/programme resources and/or equipment, adhering to the local financial perimeters set out within the department or Trust wide if applicable.
Support the procurement process for relevant projects (e.g. Training)
As required, line management of a junior member of staff. E.g. Administrative Assistant /Administration Apprentice.
Support and deliver various training (virtually and face to face), related to PPTT functions, e.g. Use of Workforce Planning Tools
Carry out training as required, both as a learner and to other learners in the team about new Standard Operating Procedures/ Policies; use of new software, ICT applications, electronic devices
