Job Description
Northwest Technical College (NTC) invites applicants to join our team as an Admissions Representative. To accomplish our mission of “preparing students for rewarding careers”, we prioritize creating a culture in which diversity is embraced and all people are safe, welcome, and validated. NTC has prepared students for fulfilling careers in high-demand fields for more than 50 years. The college’s accessible, affordable, hands-on programs also help the region’s employers meet their ever-growing need for a highly skilled workforce. NTC serves more than 1,000 students with an excellent education, an open-enrollment policy and affordable tuition. Students may pursue nearly 40 degree, diploma and certificate programs in six distinct career paths. Classes are offered on campus, online, or as a combination of both. NTC is a member of the Minnesota State system of colleges and universities.
Admissions Representatives are responsible for the recruitment and retention of new and current students to NTC. They are also responsible for activities and tasks that result in moving students through the enrollment funnel to registration. The enrollment funnel includes the following critical processes: Prospect Generation, Inquiry Management, Application Development and Admission to Enrollment. The primary objective is to meet or exceed established enrollment goals. Admissions Representatives also serve students in the One Stop Service Center and act as the Liaison for certain academic programs.
Responsibilities of the Admissions Representative include:
1. Territory / Program Management (80%)
Prospect Generation – College representation and recruiting at high schools, college fairs and business/community events. Prepare and arrange schedule of visits, recruitment efforts (i.e. communication flows, inbound & outbound marketing) according to NTC’s Recruitment Plan. Maintain communications and assist with post-secondary application and financial aid processes. Identify target recruitment opportunities based on data trends/analysis. Facilitate group presentation, small group discussions, workshops and one-to-one interaction to generate interest in NTC programs. Prepare and deliver presentations at information nights, Campus Preview Days, college days/nights new student events, campus tours and other special events.
Inquiry Management – Meet with students, parents/families and transfer students visiting campus and follow up in a timely manner and input all information into the Customer Relationship Management (CRM) system. Accurately communicate admissions requirements academic program information and student activities/life opportunities. Prepare, communicate and distribute timely, effectively and professional recruitment messages to interested students, parents, schools, college business and community groups utilizing channels that use. Assist with identification/tracking of target populations through the CRM. Respond to communications from prospective students and connect with campus resources as seamlessly as possible. Probe to insure/verify that all important issues/questions have been addressed.
Application Development – Assist with initial or pre-advising for incoming students and review and evaluate application information, transcripts and placement testing results. Consult with processing team and counselors as needed. Accurate use of the CRM, ISRS (Integrated Statewide Records System), ImageNow (document imaging) is required.
Applications to Enrollment (Yield) – Work with incomplete applicants to ensure they submit required documentation for acceptance to the college. 100% follow up is required of admitted student within programs assigned. Facilitate the process of admit to confirmed status. Follow up with required confirmed documents, confirmation letter, housing information/deposit, and academic and advising registration. Monitors the melt activity of confirmed students. Establishes a proactive communication flow/process to engage students between confirmation to the first week of class. Follows up on “no-shows” for Academic Advisement & Registration on targeted populations. Monitors the admitted/registered/dropped and cancelled list. Utilizes CRM (Hobson’s Connect) to recruit students. Performs initial advising for all new student in assigned programs.
Recruiting and Yield Event Planning and Participation-Campus Community – Coordinate/support on and off campus special events: Campus Preview Days, Academic Open House, Academic Advising and Registration, Saturday and evening events, tele-counseling and texting campaigns, and other special events. Be the point of contact for the Admissions Office within a variety of campus committees. Participate in regular staff meetings with the Office of Admissions. Participate in work group discussions for mapping business processes and measuring improvement. Actively develop partnerships and participate in work groups. Participate in decision making process for process improvement. Contribute to annual Admissions planning: enrollment reviews/analysis, effectiveness. Contribute to development of cutting-edge strategies to recruit students to college. Study enrollment data/trends in assigned territory. Evaluate territory visitation sites/areas.
2. One Stop Student Services Representative (20%)
Serve prospective and current students as a one-stop student services representative with knowledge in records, registration, financial aid, admission, and other student service areas; additional support, as needed, to schedule and proctor exams, participate in campus events and outreach programs, and be a liaison for students seeking assistance form the One Stop Student Services Center.
Performance Indicators: clients are well informed about NTC services; questions are answered in a prompt and accurate manner; when necessary, questions are appropriately referred; all requests are accurately answered and addressed in a timely and courteous manner.
Required Qualifications
Minimum qualifications for this position include:
Bachelor’s Degree.
Excellent administrative, communication, and public relations skills.
Problem solving skills sufficient to independently resolve issues with minimal referral to other resources.
Knowledge of advising concepts/techniques.
Excellent oral and written communication skills.
Knowledge of application of technology for database management.
Knowledge and attention to integrity of information and its dissemination.
Ability to apply federal, State and Minnesota State policies, procedures, and regulations.
Ability to set priorities, use analytical reasoning, and integrate results into meaningful program activities.
A demonstrated commitment to the principles of diversity, equity, inclusion, and anti-racism.
Preferred Qualifications
Preferred qualifications include:
Knowledge and experience with the admissions recruitment funnel.
Experience with a CRM.
Experience in student services.
Knowledge of transfer policies and procedures.

Lake Bemidji State Park and its miles of navigable trails is located directly across the lake from BSU, and the Buena Vista Ski Area — just 12 miles north of town — offers downhill skiing and BSU-sponsored student transportation in the winter months.
