Job Description

Supporting the IT Department with the effective and efficient management of key administrative processes for procurement, contract management, and asset management.

• This role is within the Corporate Services directorship.
• Reports to the IT Manager.
• Collaborates closely with other members of the team, members of staff, and suppliers.

Role & Responsibilities

• Owns the systems and processes with autonomy, ensuring that they operate as smoothly and agile as possible, and enabling automation and empowerment to provide the easiest and fastest service as possible.
• Ownership of day-to-day finance administration for PR and PO generation, and goods receipting of equipment and services received.
• Assisting the IT Manager with monthly management accounts, quarterly re-forecasts, and annual budgets by providing knowledge acquired through the management of procurement and contract renewals.
• Handles all day-to-day procurement of IT equipment, services, and software, with responsibility for costs in line with the Delegated Limits of Authority.
• Manages the IT suppliers through regular review, price-testing, and performance monitoring. Working with the IT Manager and suppliers to obtain quotations and place orders as required.
• Tracking and monitoring all IT Contracts for expiry, reviews and renewal. Ensuring Continuity of service, value to business, and cost effectiveness for hardware warranties, service contracts, software renewals and other contracts managed by IT.
• Produce reports then provide status updates on key contract renewals.
• Produces and analyses registers and histories of It assets and verifies that they are in a know state and location, and there are no unauthorised assets such as unlicensed copies of software.
• Verifies that secure master copies of software, documentation, data, licence and agreements for supply, warranty and maintenance and security held.

Skills & Qualifications

• The job holder will be able to provide demonstrable experience from which they have gained an equivalent level of knowledge. ITIL qualifications are desirable.
• Experience in managing procurement processes for an IT team, handling purchase requests, orders, suppliers, quotations, and business cases for a variety of IT products and services. An understanding of financial concepts for budgeting such as accruals and prepayments is desirable.
• Experience in tracking and coordinating IT contracts for a variety of services, with the ability to coordinate reviews, quotations, and order of renewals working with the IT Manager.
• Experience in the tracking of IT hardware and software assets, with the ability to report on status, warranty expiry, replacement life-cycle, and ownership.
• Able to effectively produce review or business case documentation in relation to procurement, contract, or asset management, using Microsoft Word or PowerPoint.
• Using support ticket/call handling systems (ServiceNow, ServiceDesk, Zendesk etc.), to manage non-technical service requests in relation to the role.
• Exceptional customer service and communication skills, able to communicate with all levels of the business.
• Experience of owning and improving processes end-to-end, with a continuous improvement mindset.
• Organised and proactive, with a driven desire to complete work in a timely and efficient way.
