Job Summary

The Financial and Human Resources Specialist II will provide administrative support in the areas of Finance and Human Resources. Finance supported tasks include supporting the RFP (request for proposals), audit, reimbursement requests, financial recordkeeping and reconciliation and financial reports. Human Resources related tasks include supporting processes such as on-boarding, payroll and benefit database processing, salary and benefits spreadsheets, performance review processing. Job Scope

No supervisory experience. Responsible for supporting the finance and human resources functions within the finance department.

Principal Duties and Responsibilities

• SUPPORTS the process and ASSITS with the preparation of the annual operating budget, Three Year Plan, and Tax Levy including the necessary documents and letters
• COORDINATES and PREPARES the annual capital improvement budget program. ENTERS information into the CIP database
• PREPARES and actively engages in the monthly review & analysis of the P&L, and preparation of monthly & quarterly presentations to the Chief Operating Officer
• REVIEWS and PROVIDES budget approval on disbursement requests
• CONDUCTS analysis of monthly operating revenues and departmental expenditures and PROVIDES reports (such as but not limited to museum educator, development department and special event reports) to internal and external customers
• PARTICIPATES in the NHS Finance Committee and PREPARES meeting minutes. ATTENDS financial presentations, workshops and other related meetings
• PROVIDES requested information and work papers to the Naperville Heritage Society auditors
• REVIEWS Certificates of Insurance for compliancy and ASSISTS the special event coordinator or other staff in obtaining the necessary paperwork
• SERVES as a back-up for the financial specialist
• WORKS with the special event coordinator to DEVELOP annual RFP (request for proposal) for special events
• CREATES paperwork and ENTER and MAINTAINS the HRIS database for employees
• WORKS with the COO to onboard new staff
• WORKS in a COLLABORATIVE manner with all institutional staff PERFORMANING other duties as may be appropriate and needed

Skills, Knowledge and Abilities

Proven teamwork skills with the ability to handle a diverse workload with tight time frame requirements and competing resources. Strong experience in financial accounting, management accounting, financial analysis, finance modeling, planning, forecasting and management reporting. Strong experience in use and application of PC, mainly Power Point and Excel. Ability and aptitude to manage financial software and database systems. Strong analytical and quantitative skills. Strong written and verbal communication and presentation skills, a proven ability to present information to all levels of management. Highly motivated with the ability to work on a team as well as independently and drive results. Comfortable in an environment with changing priorities, and competing time for demands. Knowledge of non-profit and public accounting, budgeting, capital programs, and investments. Ability to be highly organized and demonstrate leadership. Ability to analyze and evaluate operating issues, problems and programs.
