Reporting to the director of athletics and recreation, the incumbent provides administrative support to the Department of Athletics and Recreation.
Duties include performing receptionist services, co-ordinating U SPORTS/AUS and CCAA/ACAA eligibility registration for athletes; typing, photocopying, maintaining filing systems; co-ordinating membership sales and locker rental; depositing departmental receipts; arranging appointments; opening mail; and ordering office supplies.
Responsibilities
Perform receptionist duties by answering the telephone, greeting visitors, responding to inquiries where possible, and directing callers and visitors to the appropriate person
Type correspondence and other departmental materials
Maintain departmental filing systems by organizing and adding new files and updating current files; compile and maintain records relating to U SPORTS, CCAA and AUS, ACAA eligibility of all varsity athletes
Collect information necessary to prepare student payroll, fill out payroll sheets, and forward to the Payroll Office
Sell memberships and arrange locker rentals by accepting payments, typing pins and tags as necessary, forwarding monies to Financial Services, and arranging refunds where required; arrange deposits of other monies received by the Department
Complete Department of Athletics and Recreation website updates as required
Maintain all varsity and club teams information databases
Work closely with Registrar’s Office to produce regular Datatel eligibility reports for varsity teams
Open and sort mail for the Department
Manage petty cash fund for the Department
Order office supplies as required
Perform other related duties
Qualifications/skills
High school diploma and a one-year course in secretarial studies/office administration as well as a minimum of one year of related experience are required
Knowledge of word processing computer software, Excel
Excellent organization and communication skills
Ability to work independently
