Key Responsibilities:
Greeting and Reception:
Welcome and greet guests, clients, and visitors in a professional and courteous manner.
Direct visitors to appropriate personnel or meeting locations.
Handle incoming calls, directing them to the appropriate departments or taking messages as needed.
Maintain a neat and organized reception area, ensuring it reflects a positive image of the organization.
Administrative Support:
Assist in various administrative tasks, including data entry, document preparation, photocopying, and filing.
Manage incoming and outgoing mail, packages, and deliveries.
Maintain and update visitor logs, databases, and contact lists.
Assist with scheduling appointments and coordinating meetings.
Customer Service:
Provide exceptional customer service to all visitors, addressing their inquiries and needs promptly and effectively.
Respond to inquiries via phone, email, or in person, ensuring accurate and courteous communication.
Handle client requests and resolve minor issues or redirect them to appropriate personnel.
Communication:
Maintain clear and effective communication with internal teams to relay messages, updates, and relevant information.
Assist in drafting and proofreading internal and external communications.
Qualifications and Skills:
High school diploma or equivalent; associate’s degree or relevant certification is a plus.
Excellent verbal and written communication skills.
Professional appearance and demeanor.
Strong interpersonal skills and the ability to interact with a diverse range of individuals.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
