MAJOR DUTIES AND RESPONSIBILITIES:

The Associate Director of Accounting (Associate Director) of the Montana State University Alumni Foundation (Alumni Foundation) manages the month-end and fiscal year-end close processes for the Alumni Foundation, its subsidiaries, and other related entities. In addition, the Associate Director performs month/year-end accounting such as journal entry preparation and entry, cash and investment reconciliations, and report generation. This person will also prepare annual audit/tax schedules and documentation and assists in generating annual GAAP financial statements.


SPECIFIC DUTIES AND RESPONSIBILITIES:

  • Manage the month-end and fiscal year-end close for the Alumni Foundation, its subsidiaries, and other related entities, coordinating with other staff, tracking deliverables, and ensuring an on-time close.
  • Assist in maintaining general ledger accuracy, performing reconciliations, reviews and corrections. Prepare and enter monthly journal entries in accordance with GAAP.
  • Prepare annual audit and tax work papers, pull transaction samples, and assemble other documentation needed for all entities.
  • Assist Director of Accounting with generating annual GAAP financial statements for multiple entities, including drafting financial statement notes. Prepare internal financial reports for management and staff as needed.
  • Assist with external compliance requirements, preparing and filing withholdings, tax filings, and other reports and forms with appropriate state and federal agencies (e.g., 1099, 945, W2-G).
  • Draft and document accounting procedures.
  • Assist in calculations and report generation for annual endowment spending and scholarship budgets.
  • Assist with special projects and other duties as requested.

SPECIAL SKILLS AND QUALIFICATIONS:

  • Thorough knowledge of and ability to apply Generally Accepted Accounting Principles.
  • Strong knowledge of and ability to analyze and implement internal controls.
  • Ability to interpret and apply IRS non-profit rules and regulations.
  • Intermediate to advanced proficiency in Microsoft Excel.
  • Experience querying accounting software and financial databases to generate reports and analyses.
  • Ability to learn new software and tools to create task efficiencies and automate reports.
  • Ability to develop, analyze, and interpret accounting information and various policies and procedures.
  • Ability to identify and solve problems, research and analyze data and account errors, and reconcile accounts.
  • Excellent verbal and written communication skills, including the ability to convey accounting information in a clear and concise manner that can be understood by non-accountants.
  • Well-organized, efficient, able to work independently and meet deadlines.
  • Ability to complete quality work with a high degree of accuracy.
  • Effective interpersonal skills including ability to work with a diverse group of individuals in a positive team atmosphere and to establish and maintain working relationships.
  • High standard of professional ethics.
