Description

The Production Coordinator plays a central role in the management and communication of logistics for our global in-house production team. This individual will into the Creative Services Director and work closely with the Studio Lead, studio producers and motion graphics artists to drive the efficient creation of videos and podcasts. The coordinator must have strong knowledge of the end-to-end process for video creation (live-action, motion graphics, animation) and an ability to drive collaboration across stakeholder teams within the in-house agency and its clients. This role will take the lead in championing the utilization of Workfront (project management system) within , ensuring that project information is up to date and fulfilling quarterly and ad hoc s. This individual will regularly partner with colleagues in New York, London, Penang and more.

Responsibilities Include

• Move and track projects and assets through the department in accordance with the schedule and in support of team producers.
• Develop, update, and track project timelines and budgets to ensure project objectives are met
• Assist with prioritizing tasks weekly and daily for team members to optimize workflow and resourcing
• Process new requests and work with Studio Lead and Creative Services Director to assign projects
• Coordinate the exchange of information, facilitating communication across the project team and internal stakeholders
• Ensure that team processes and standards are being consistently adhered to
• Proactively suggest areas of improvement specific to internal processes and project workflow
• Assist Studio Lead and Client Services Director with ad hoc client requests
• Responsible for assigning and overseeing projects with team members in Americas, EMEA and APAC
• Lead the department’s utilization of its project management system and be the team’s Workfront subject matter expert to provide an efficient, transparent workflow with data-driven ing
• Assign producers, assist with project timelines and ongoing scheduling adjustments
• Work with the rest of the studio team to track and progress updates and any barriers
• Ensure team members are ing and tracking their time accurately and regularly.
• Assist in cross departmental communication and ensure that studio team has what they need to deliver their assignments on time. Work with other functions to resolve any outstanding issues with workflow
• Promote high level connectivity thru Workfront and Microsoft Teams usage among the team.
• Advocate and represent the capabilities of EM and Studio team to business partners
• Coordinating with EM Client Services Managers to debrief on studio projects
• Responsible for setting up freelancers administratively
• Set up new hires with workstations and ensure proper training for studio processes (Workfront projects, timesheets, communication expectations, etc.).

Requirements

• Strong understanding of end-to-end production process for video creation (live-action, motion graphics, animation)
• Detailed oriented – ability to pay attention to the minute details of a project or task
• Ability to perform work accurately and thoroughly
• Proven experience in (and a passion for) delivering great results
• Strong planning and organizational skills, including the abilities to organize work towards a long-term goal and manage multiple projects simultaneously
• Creative problem solver
• Collaborative team player attitude with the ability to navigate and influence within the organization
• Exceptional verbal and written communication skills; comfortable presenting to senior leadership and tailoring content to multiple audiences
• Tech savvy with a curiosity for exploring new ways of doing things

Education/Experience

• Bachelor’s degree or relevant experience
• At least 3 years of experience working with multi-disciplinary creative/production team preferred
• Experience working within Creative Agency or in-house agency a plus
• Proficiency with Adobe Creative Cloud and Microsoft Office
• Experience with Adobe Workfront Project Management software is preferred
