Minimally Invasive Surgical Solutions Hiring for Medical Administrative Assistant at San Jose, CA Full Time

The Medical Admin Assistant will support Minimally Invasive Surgical Solutions (MISS) hallmarks of service excellence and quality for all job responsibilities. Our mission at MISS is to provide patients with top-caliber minimally invasive medical procedures and diagnostic services, state of the art technology and compassionate care in a safe and comfortable environment with minimal time, discomfort and administrative procedure.

Responsibilities:

• Check in new and existing patients at front desk to include obtaining copies of patient’s insurance cards and ID, scanning into system and making hard copy for chart. Patients are given needed paperwork to complete which is keyed and scanned into lntergy. Check eligibility while checking in patient.
• Help complete plan of care sheet for patients as needed with all upcoming appointments listed
• Schedule and coordinate any needed referrals, procedures, testing and follow up for all patients. To include Pet scans (review instructions and prep with patient), CT scans, biopsies, cardiac clearance, Pulmonary function tests, MRI, mammograms, lab work, and surgery consults.
• Assist with Vascular Screening Program which includes scheduling mobile sonographer and communicating with offices involved in program.
• Call patients to confirm appointments for the next day.
• Pull and prep charts for the next day clinic, which includes acquiring any needed records and or s from outside offices, verifying if any insurance referrals/authorizations are needed and verifying that all necessary documentation is in chart.
• Take patients to exam room and obtain patients medical history, complete workup as needed.
• Answers phones and assist caller or forward calls accordingly.
• Make changes in physicians’ schedule to meet needs of doctor and notify staff accordingly.
• Evaluate side effects of treatment and manage with physician input.
• Ensure weekly management forms are in chart.
• Consults are scheduled same day or next day by all front office staff.
• Communicate with home health agency and hospices and refer as needed.

Other Qualifications: CPR certified preferred, computer literate, excellent interpersonal and communication skills (fluency in a second language a plus), attention to detail, excellent accuracy and reliability, ability to multi-task, ability to work under pressure in high stress environment while maintaining composure and positive affirmative response. Must have high customer service skills with compassion and empathy toward patients. Excellent attendance.
