About the role
This is an exciting opportunity to join Oxfordshire Mind in a varied and challenging role. We are looking for a HR & Recruitment Administrative Assistant to support the HR Team. You will be working as part of the HR team, providing a professional and first-class administrative service to our HR Business Partners and the wider organisation.
Responsibilities – This role will complete a full range of administrative duties including:
Recruitment:
Advertise vacancies via our HR system, BambooHR
Liaise with Recruitment agencies as required
Post vacancies on job boards, and other sites as requested by hiring managers (including NHS jobs, Indeed/Glassdoor, LinkedIn, and National Mind)
Responding to general enquiries from applicants, candidates, and new starters
Contact candidates to invite to interview
Support interview panel to set up interviews
Create shortlisting and interview packs for interview panel
Process pre-employment checks including ID checks, references and DBS
Write offer letters and contracts of employment
Contacting successful and non-successful applicants via email and telephone
Add new starters onto the HR system, upload documents
Co-ordinate and update the Recruitment tracker and New Starter tracker
Run HR Induction meetings for new staff including BambooHR training
Coordinate the Oxfordshire Mind Welcome Day Event
Apply for partnership contracts (Letter of Authority) with Oxford Health for Partnership roles working with NHS Trust and Oxfordshire Mind
Provide the HR Team with admin support as including:
Accurately input and maintain employee information on the HR system, BambooHR
Complete relevant administration duties as directed by HR Business Partners and HR Manager including responding to HR queries, typing letters, contract variations
Setting up and deletion of email addresses, including updating email distribution lists
Support HR Manager with ensuring compliance of all mandatory training, including in house training by external/internal providers.
Liaising with trainers and co-ordinating training events
Provide accurate and timely management information and reports as required
Carry out data cleansing as required
Support the HR team with adhoc HR projects and administrative tasks as required
Create reports using data from the HR system
