The University of Michigan Department of Emergency Medicine is seeking an outstanding Administrative Assistant to join the research team at the North Campus Research Complex (NCRC) and on the main hospital campus at the Taubman Center. This role will support research operations at NCRC and work closely with the Administrative Manager for Wet Lab Research to assist seven different labs at NCRC. Additionally, this role will support several faculty at both NCRC and Taubman Center with calendar management, expense management, and other administrative support functions.

This candidate is anticipated to work 2-4 days on-site per week, split between NCRC and Taubman Center. During an onboarding period, the candidate may need to come on-site every day.

Responsibilities*

• Support operations of Emergency Medicine Wet Lab Research at NCRC Building 25 and 26
• Order lab supplies and track order numbers
• Help manage lab deliveries and inventory
• Assist Administrative Manager in onboarding new staff
• Assist Administrative Manager plan events
• Give tours of lab spaces and help escort visitors to NCRC
• Submit facilities work order requests
• Support several faculty with administrative support needs
• Maintain faculty CV
• Manage calendars, schedule meetings, coordinate travel
• Coordinate membership renewals/dues, subscriptions, conference registrations and submit expense s
• Maintain departmental phone lists and other administrative documents
• Maintain/update departmental policies and procedures
• Provide cross coverage for administrative support staff across department
• Perform other duties as assigned

Required Qualifications*

• Bachelor’s degree or equivalent combination of education and experience
• More than 4 years of administrative experience
• Excellent interpersonal skills to handle sensitive and confidential situations that require demonstrated poise, tact, confidentiality and diplomacy
• Excellent written and oral communication skills with the ability to effectively communicate and collaborate with all levels of constituents
• Experience with spreadsheet and presentation applications including Excel, Word, and PowerPoint
• Demonstrate ability to set priorities, handle multiple assignments and deadlines
• Judgment while operating in a flexible and professional manner
• Knowledge of UM policies and procedures preferred

Background Screening
