FLSA Status: Non – Exempt

BASIC FUNCTION:

The primary purpose of the job position is to complete all aspects of Accounts Payable Function for the Skilled Nursing Facility and the Personal Care Facility. Accountant will assist in the day-to-day accounting functions of the accounts payable in accordance with current acceptable accounting principles relating to the long-term care industry, HIPAA Security and Privacy regulations, and as directed by the Director of Finance and/or Administrator. Accountant will also assist in journal entry postings, trial balance maintenance and completion of general ledger support files and documents. Accountant will be responsible for the office equipment inventory records and service maintenance. The Accountant will assist the Director of Finance in various business office procedures as listed below:

ESSENTIAL FUNCTIONS:

• Perform duties relative to the facility’s overall payable functions.
• Maintain W-9 forms on all vendors.
• Maintain an open purchase order file.
• Forward invoices to appropriate department heads and personnel for verification of quantity, unit price, extensions and approval for payment as dictated by the facility’s policy.
• Codes invoices with appropriate chart of account number to assure that expenses are distributed to the correct expense account and facility.
• Attached original invoice to check payment record, sends checks to vendors and maintains a file of paid invoices.
• Communicates with suppliers /vendors concerning errors or questions on invoices. Unresolved or significant issues should be brought to the attention of the DOF or Administrator immediately.
• Sorts daily business office mail and distributes to appropriate personnel. Places all undeposited checks in safe.
• Prepares daily deposit slip.
• Posts cash receipts on a daily basis to the manual cash ledger and to the subsidiary accounts receivable ledger on the PCC computer program.
• Checks operating cash accounts daily for discrepancies and report any to DOF.
• Reconciles general cash accounts on a monthly basis.
• Scans deposits daily to banking institution.
• Going to the bank with cash deposits and to the Post Office as needed.
• Set up recurring ACH’s on Banking website.
• Reconciliation of Petty cash expenditures and replenishment of imprest funds.
• Will assist in the input ancillary charges for resident billing to insure timeliness of billing.
• Will assist families/visitors with questions and direct them to appropriate personnel if needed.
• Will be familiar with HIPAA Privacy and Security Rules and work duties should be competed in compliance with these regulations.
• Will assist in the preparation of monthly/recurring general journal entries.
• Will assist with in the maintenance of general support files as required for year- end financial audit.
• Will assist DOF with other general ledger duties as directed.
• Perform other related duties in support of Business Office as directed by Director of Finance.

PHYSICAL DEMANDS

• Must be able to bend and lift up to fifty (50) pounds periodically.
• Must be able to use an adding machine and to endure constant use of hands.
• Must be able to use the computer.
• Must be able to sit for long periods of time.

SPECIAL DEMANDS

• Must be able to maintain a calm demeanor when dealing with staff, residents and residents’ family members.

QUALIFICATIONS

• College diploma in accounting/business. Substitution of Life experience will be considered.
• Experience in using Microsoft Office products; i.e. Excel, Word, Outlook.
• Must be able to balance accounts and to complete forms properly.
• Must have the ability to learn new software programs within time-constraints as dictated by industry and Federal/State regulations; i.e. Point Click Care Software, and other miscellaneous programs.
