McInnis, Inc Hiring for Onboarding Specialist Full Time

The Onboarding Specialist is responsible for daily onboarding, and processing of all newly hired client staff from start to finish. The Onboarding Specialist is the primary liaison with the client and corporate office’s regarding all onboarding, payroll, human resource intake, and benefit questions.

Bi-lingual (Spanish) preferred but not required

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Full cycle employee onboarding, including initiating criminal background checks, conducting reference checking, and communicating with new employees for a successful onboarding process.
• Responsible for creating and maintaining personnel files; including all application materials (reference checks, determination letter, etc.), identifications, and financial documents; ensuring only appropriate information is contained in files for retention and personnel file guidelines.
• Communicates with all incoming candidates to pre-screen and schedule interviews
• Ensures new employee meets minimum qualifications, provides proper documentation in compliance with policy standards and processes.
• Verifies I-9, W-4, New Hire ing Form, LEIE initial and monthly audit checks, etc.
• Creates/updates employee files while maintaining strict confidentiality of all records.
• Consistently updates records, and works with Payroll Manager to ensure all payroll, benefits and tips are entered correctly.
• Continually evaluates new software and process efficiencies with regards to onboarding procedures.
• Maintains compliance with federal and state regulations.
• Manages the unemployment, and worker’s compensation process.
• Investigates and answers routine and non-routine questions regarding onboarding issues.
• Responds to requests for employment verification, document production.
• Responsible for all other related and reasonable tasks related to onboarding processes.
• Completes required training to maintain established credentials.
• Assist recruiting staff in recruiting, and new business development.
• Work with recruitment team on matching resumes to job orders, interviewing & preparing candidates for client screening.
• Strong operations management experience within all functions of onboarding and back-office operations.
• Maintains compliance with federal and state regulations.

KNOWLEDGE, SKILLS AND ABILITIES

• Ability to effectively manage multiple projects simultaneously while meeting onboarding deadlines
• Responsible for onboarding techniques to include a variety of methods such as cold calling, internet searches, social media advertising, internal and external databases, employee referrals, direct sourcing, and job fairs
• Goal and revenue driven mindset with a positive and determined approach to research and analysis of onboarding operations
• Excellent communication skills and a proven track record of developing business relationships and full life cycle onboarding and retention
• Thorough understanding of Onboarding, Staffing and HR systems and programs
• Must be highly efficient in Microsoft software platforms
• Onboarding Process efficiencies
• Strong leadership and mentoring skills
• Exceptional interpersonal and human relations skills and ability to interact positively from widely diverse cultural backgrounds at all levels of the organization

REQUIRED QUALIFICATIONS

• 3 years’ experience in Onboarding and Recruiting (Hospitality preferred)
• 3 years’ experience in ADP onboarding process required
• Bi-lingual (Spanish) preferred
• Onboarding ATS software experience required – JazzHR a plus
• Strong analytical computer skills with expertise in Microsoft Office, web-based ATS, and social media.
• Must be able to travel within the New Haven and Fairfield Counties
• Highly organized with demonstrated operations experience
• Excellent written/verbal communication skills
• Ability to multi-task, prioritize, and effectively manage time
• High energy and positive attitude
• Ability to work independently and take and follow direction as needed
• Critical thinking and analytical skills

TRAVEL

The Onboarding Specialist is required to be on-site at our clients on a bi-weekly (or more often) basis, especially during new store openings to onboard applicants in person when needed.

Must have reliable transportation and be able to travel when needed.

EDUCATION, TRAINING AND EXPERIENCE

Bachelor’s degree in Communications, Human Resources, or Culinary Management (or equivalent experience) with demonstrated skill and knowledge in onboarding, HRIS, recruiting and restaurant operations. Previous experience in management of operational procedures and strategic business communications in the restaurant industry preferred. Experience in using Microsoft 365, ADP, POS and ATS systems required.
