The purpose of the role is to provide administrative and advisory support to the People & Culture Team, specifically the HR Advisory and Employee Relations team, partners and managers ensuring a fair, appropriate and consistent approach to company policies and procedures is maintained in line with legislative requirements.
Key areas of responsibility
To act as first line support in managing the Advisory e-mail inbox. Responding to queries within agreed KPI’s and escalating when appropriate.
Establish strong working relationships with managers and Partners to support the employee relations and management upskilling requirements within the Firm.
Support the Advisory and Employee Relations Team with case management of pay queries, Maternity, Paternity, Sickness, Probation, exam failures and Flexible working, identifying potential early ER issues.
Take ownership for any projects or initiatives as directed by the management team & provide general support for work required/ requested.
Process invoices for OH reports.
To process Medical Referrals & maintain up to date trackers regarding referrals & payments.
To ensure an appropriate plan is put in place with the team member and line manager to action the recommendations received from OHS referrals and monitor progress and realign where necessary.
To assist in the delivery of internal workshops and training interventions where required.
Understanding of customer requirements and is able to take ownership of problems/issues and recommend practical HR solutions.
Provide up to date knowledge and guidance to all employees on HR policies and procedures and processes as applicable.
To provide support and guidance to Managers and Partners in absence management, grievance and disciplinary processes.
Accurately record all ER related case work on the Employee Relations system and escalate complex ER issues to the Employee Relations Manager for advice, support and guidance.
Assist in the compilation of reports on HR/ER activity highlighting any areas of concern and working with the relevant member of the People & Culture team to implement measures / take appropriate action to address these concerns.
Work proactively in raising management skills of line managers through the preparation, design of HR management briefing sessions. Assisting with the delivery of these sessions and any other appropriate scheduled training sessions.
To participate in the update and revision of HR Policies, guidance and document templates as requested.
To undertake any other duties, as may from time to time be required, to support the function.
Person Specification
Experience of working within a HR environment previously and be able to provide advice when required (essential).
Well organised with the ability to plan, prioritise and manage high volumes of work.
Excellent verbal and written skills with the ability to write a clear, understandable and concise manner
Proactive and practical approach to problem solving
Good working knowledge of current employment legislation and its application in the workplace
HR systems experience and/or ability/desire to pick up a system quickly (essential).
Strong IT skills, specifically Excel (intermediate standard as a minimum), Word and PowerPoint.
Excellent attention to detail.
Must be able to demonstrate strong organisational and time-management skills; ability to manage workload, methodical at planning and prioritising.
Demonstrates commitment to ensure deadlines are met and keeps relevant parties updated.
Excellent at building relationships at all levels & proven team working ability.
Demonstrates a professional approach to work.
Experience of working in a professional services environment (desirable).
