Job Description:

Madison College is seeking a customer-focused Clerical Technician to join the School of Professional and Continuing Education. This role involves providing instructional support to faculty, programming staff and student services in Continuing Education, while also handling various administrative tasks. Additionally, supports non-credit functions including course set-up and tracking, instructor assignments, disputes/refunds, and other complex support functions.

This is a full-time position with a Monday to Thursday schedule of 9:30 am to 6:00 pm and Friday from 8:00 am to 4:30 pm.

This position s to the Manager, School Operation in the School of Professional and Continuing Education.

Duties/Responsibilities:

• Provides comprehensive registration support, including account creation, processing course enrollment, cancellation, wait list requests, and assisting with general student inquiries, processing, tracking, and monitoring enrollments, and proposing and advancing process improvements.
• Performs routine clerical tasks including data entry, assembling course materials, mail merges, and signage.
• Provides front desk support greeting visitors, faculty, and students, supporting onsite classroom requests, locking, and unlocking doors, putting up signs, responding to telephone requests and inquiries, maintaining appointment and meeting schedules and obtaining meeting rooms when necessary.
• Maintains course evaluation processing and ing for Continuing Education &; Business &; Industry.
• Expedites, and ensures the quality of contract sales fulfillment processes including, but not limited to, creating registration forms, reserving rooms, advising, the assembly and distribution of participant materials, classroom set up and catering, service provider information packets, and service supplies including curriculum distribution.
• Processing and creating Letters of completion and certificates for B&;I, CE and Ed2Go.
• Maintains a commitment to the college mission, vision, and values.
• Complies with college policies, directives, and work rules.
• Other duties as defined by department, college, or officials.

Knowledge, Skills &; Abilities:

• Skill in communicating effectively, both orally and in writing.
• Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities.
• Ability to multitask and work efficiently, summarize information, reason logically, draw valid conclusions, make procedural recommendations, and initiate accordingly. Ability to work independently as well as a team.
• Ability to use critical thinking and analysis to pro-actively solve problems and improve processes.
• Ability to coordinate own work with that of others, to review the work of others and maintain appropriate quality standards for assigned units of work.

Minimum qualifications

• One (1) year post-secondary education.
• One (1) year working experience.
