Location

This iconic Resort is situated between the renowned Great Barrier Reef and the Daintree Rainforest in Tropical North Queensland. The resort comprises 295 guest rooms, suites and villas.

POSITION SUMMARY

• Collate suppliers documentation for processing, matching invoices and delivery dockets with the corresponding purchase order.
• Ensure a “3-way match” – a properly approved (and issued) purchase document and a properly signed receiving document, both of which match the invoice submitted by the supplier.
• Review edit report from Store person and check that general ledger codes are correct and check to ensure that invoices are totaled correctly.
• Ensure all credit notes are posted correctly to reconcile against supplier’s statements and printed on the remittance advice.
• Balance receiving reports to stores.
• Input Information into the A/P system.
• Reconcile invoices to statements.
• Process invoices on a timely basis in order to take advantage of supplier discounts where cash flow allows.
• Prepare cheque run for approval on a weekly basis. An associate independent of the accounts payable function must mail cheques.
• Reconcile supplier statements monthly with hotel records and follow up on any discrepancies.
• Ensure batches are properly posted to the General Ledger.
• Perform the A/P month end close.
• Prepare Accruals Summary at month end for regular suppliers and delivery dockets or purchase orders not paid and forward to Finance Manager at month end.
• Complete all supplier credit applications.
• Ensure all payments are properly authorised to ensure payment for unauthorised purchases does not occur.
