Position Title: Manager, Tenant Construction and Coordination

Location: Trinity Hills at Medicine Hill, Calgary AB 

Position Overview: 

This role reports directly to the Senior Vice President of Development and Construction and is pivotal in interfacing across all departments. The primary responsibility is to oversee the coordination, approval processes, and construction management for commercial tenant-specific construction within existing or under-development properties.

 Primary Responsibilities

• Manage project coordination for Landlords Work and Tenant Interior Fit-up contracts.
• Solicit, negotiate, and approve fee proposals, purchase orders, and invoices related to tenant requirements or interior fit-up drawings under “Turn-key” agreements.
• Prepare and submit Building Permit applications for Interior Fit-up projects.
• Develop estimates and budgets for hard and soft costs related to tenant and/or landlord works.
• Conduct site reviews and inspections to ensure execution of tenant requirements and completion of lease obligations, facilitating tenant possession.
• Monitor and track the completion of punch list items affecting tenant premises.
• Provide insights and feedback to the Leasing department regarding “Landlord Work” prior to the execution of agreements.
• Issue or facilitate the issuance of notices, drawings, and approvals to tenants.
• Support Project Managers with tenant-related issues during base building construction.
• Assist tenants and their contractors throughout various construction and occupancy phases.
• Review base building drawings to confirm their conformance with tenants requirements.
• Serve as the main liaison between tenants, leasing, property management, construction, and external consultants.
• Interpret lease provisions related to tenant work, landlord’s work, fixturing periods, delivery conditions, and tenant allowances.
• Ensure all tenant improvement work complies with lease requirements, landlord design standards, and building rules.
• Track critical lease milestones including delivery dates, permit timelines, fixturing periods, and opening requirements.
• Coordinate landlord’s work required to deliver premises in the agreed condition (e.g., base building, services rough-ins, demising walls, storefronts, life safety).
• Interface with base building contractors and consultants to align landlord’s work with tenant schedules.
• Manage scope clarifications between landlord’s work and tenant’s work to avoid gaps or overlaps.
• Identify changes to landlord’s work triggered by tenant requirements and coordinate approvals and cost recovery where applicable.
• Review tenant drawings and specifications for compliance with landlord standards and lease terms.
• Coordinate drawing reviews with architects, engineers, building officials, and property management.
• Facilitate timely approvals of tenant submissions and track revisions.
• Monitor construction progress to ensure alignment with approved drawings, schedules, and building policies.
• Coordinate access, deliveries, after-hours work, shutdowns, and inspections.
• Track tenant improvement allowances and eligible costs in accordance with lease terms.
• Review tenant invoices, statutory declarations, lien waivers, and close-out documentation.
• Coordinate payment of allowances and recovery of landlord costs attributable to tenant-requested upgrades or changes.
• Assist with reconciliation of construction costs and variances.
• Make and coordinate permit applications, inspections, and approvals with tenants and authorities having jurisdiction.
• Ensure life safety, fire alarm, and building systems are properly integrated and commissioned.
• Manage tenant turnover process including deficiency lists, final inspections, and sign-offs.
• Ensure receipt of as-built drawings, warranties, certifications, and close-out documentation.
• Ensure tenant contractors comply with site safety requirements, insurance, bonding, and WSIB requirements.
• Enforce landlord construction rules, security protocols, and quality standards.
• Proactively identify risks to schedule, cost, or operations and recommend mitigation strategies.

Qualifications & Requirements

• Advanced degree in Construction, Architecture, Engineering, or Building Science.
• Minimum of 4 years’ experience in commercial construction management or tenant construction coordination.
• Proficient in interpreting commercial leases, legal documents, and construction drawings.
• Knowledge of software applications including AutoCAD, Microsoft Project, and Microsoft Excel.
• Demonstrated leadership skills and the ability to manage complex client interactions and challenging situations.
