We’re searching for a diligent office assistant to provide administrative support. You’ll be responsible for responding to all complaints and questions in a friendly and timely manner, implementing office standards to streamline our processes, scheduling appointments, and company trips, ordering office equipment, and marketing our brand through community events and print and digital mediums.

Applicants should be extremely thorough, possess excellent communication skills, and have some background in customer service.

Responsibilities :

• Increase productivity by creating record-keeping procedures for customer data filing systems
• Plan office events and schedule arrangements for travel if necessary
• Buy materials for the office when necessary
• Help build online marketing, brochures, email campaigns, etc. that highlight our services
• Inform team members regularly about the status of projects and any setbacks or achievements
• Respond to payment requests from our Realtors by reviewing commission earned and expenses incurred that have been previously recorded in our back office
• Verify the account and determine the accuracy of those charges
• Check the internal documents to determine if the transaction has been completed prior to making any payments
• Verify the Realtors that are going to be paid, do not have outstanding debts
• Verify funds are cleared in the account prior to any approval for payments
• Prior to approving any funds to be sent, notify the recipient of your findings

Qualifications :

• Navigates computer programs with ease to provide a quick front-desk experience for customers
• Enjoys talking with customers and can communicate through verbal and written channels
• Proven track record of completing projects on time in an orderly manner
• High school diploma or GED required, some college experience preferred
• Customer service experience in our industry is preferred
• Display excellent written, verbal, and communicative skills
• 5+ years of experience in accounting-related work
• Proficiency in QuickBooks, Microsoft Office, and Outlook Express
• Computer savvy
• Associate degree in Business or Accounting
