Position – Finance Officer
Reporting to General Manager
Capabilities required Fully competent with XERO financial software
Ability to produce Excel spreadsheets
An understanding of profit and loss
Absolute integrity and maintenance of strict confidentiality.
Duties 1) Banking
Administrator and Signee for Bank of Scotland Club accounts and signing cheques
Nominated subscriber for XERO software, Club Credit Card, Stripe cash handling
Reconciliation of cheques received and sending to BoS.
Daily reconciliation of all payments taken by Reception
Checking, reviewing, reconciling all payments using XERO
Processing of all petty cash. Visiting local post office to lodge / withdraw cash
2) Suppliers
Creating new Nominal Codes for XERO
Applying for new accounts with suppliers and monitor existing one.
Placing of all Purchase Orders
Posting all incoming supplier invoices
Controlling and arranging all payments to suppliers in an appropriate timescale
3) Rentals
Allocation of payments in from Guesty
Remittances to Owners for rental received
Creating spreadsheet reports for all rental transactions
4) Assignations (transfer of lodge ownership)
Monthly reconciliation and checking of all completed assignations
Remittance of funds received to former owners where appropriate
5) Other Duties
Covering shifts for reception when necessary.
Assisting other office staff on major occasions such as mass mailing
Handling all Board expenses submitted by the Club Secretary
Liaising with the Club Secretary on Insurance matters.
Advising the Club Chairman of any unresolved matters of financial concern.
