Job Description

Are you looking for a long-term position as a virtual assistant? We are hiring for a design firm located in the Pacific time zone that needs a high-performing, get-things-done, type A driver who has the ability to pivot when necessary. In this position, you must be a strategic thinker who brings ideas to the table in order to solve problems and make processes more efficient. You will have the opportunity to grow this position quickly by bringing ideas and solutions to the table.

This position will start at 20 hours a week but has immediate potential to grow quickly to FT, especially if you jump in, prove yourself, and get the job done right the first time.

Hours: 20 to grow quickly to FT

Contract or W2: Contract

Time Zone: Any, PT or MT preferred

Duties and Responsibilities

• Email and calendar/scheduling management
• Confirming appointments
• Being a kind but firm gatekeeper
• Client management including onboarding and off-boarding
• Backend procurement – AR/AP, updating QuickBooks and liaising with bookkeeper
• Client invoicing
• HR tasks and payroll
• Vendor management
• Maintaining and developing SOPs
• Creating and tracking proposals and contracts
• Weekly Client Updates
• Damage claims
• Identify and remove anything on the owner’s plate to make her life run more smoothly

Qualifications

• 5-10+ years of experience in an administrative position
• Experience in the design industry a plus
• Highly self-motivated

• Strategic thinker
• Ability to see the big picture, break down the details, and get things done
• Problem solver

Job Types: Full-time, Part-time

Pay: $24.00 – $28.00 per hour

Schedule:

• 4 hour shift
• 8 hour shift
• Choose your own hours
• Monday to Friday
• No nights
• No weekends

Experience:

• Microsoft Excel: 5 years (Required)
