Job Overview:
As a Customer Service Representative, you will be the face of our company, responsible for delivering outstanding customer service and ensuring seamless communication with our clients. Additionally, you will take on administrative and operational duties to streamline our processes and support the team’s efficiency. Your positive attitude, attention to detail, and excellent communication skills will contribute to the overall success of our company.
Key Responsibilities:
– General Assisting: Support the team with various tasks and projects to ensure smooth daily operations.
– Answering Incoming Calls: Provide prompt and courteous responses to customer inquiries, addressing their needs efficiently and professionally.
– Responding to Referrals/Leads/Online Inquiries: Engage with potential customers promptly, delivering helpful information and guiding them through the process.
– Scheduling Work on Calendar: Coordinate and manage work schedules for our team, optimizing productivity and ensuring timely completion of projects.
– Material Management: Order necessary materials from supply houses, Slack channels, and the warehouse board, ensuring adequate stock for scheduled jobs.
– Time Corrections/Payroll Processing: Accurately handle time corrections and assist in the payroll processing to ensure timely payment for our employees.
– Scheduling for Planned Time Off: Receive and review time off requests, submit them to managers for approval, and maintain a well-organized schedule.
– Office Maintenance: Maintain a clean and organized office environment, including sweeping and cleaning the office area.
– Company Events Organization: Plan and organize company-sponsored outings, holiday parties, and quarterly meetings, fostering a positive and engaging workplace culture.
– Permit and Inspection Coordination: Assist in applying for electrical permits and coordinating inspections to facilitate project timelines.
– Document Management: Scan and organize receipts, invoices, and statements, ensuring proper filing and uploading them to Hubdoc for efficient bookkeeping.
– Bank Deposits: Handle bank deposits securely and accurately as needed.
– Tool Inventory Management: Manage and track the inventory of tools to ensure the team has the necessary equipment for their projects.
– Filing System Maintenance: Maintain a well-organized filing system to manage documents and records effectively.
– Operational Procedure Review: Continually review and renew operational procedures to enhance efficiency and maintain high-quality service standards.
