Position Summary

The Executive Assistant is responsible for performing complex administrative and clerical duties for executives within the company.

Essential Duties and Responsibilities

• Responsible for negotiating travel arrangements (including commercial and company transportation) as needed.
• Maintain daily, monthly and annual Flight Logs on Corporate Aircraft.
• Work closely with company Chief Pilot to maintain Corporate Aircraft Scheduling.
• Prepare correspondence including but not limited to: letters, memos and procedures (including confidential information).
• Provide administrative and clerical support to executives and Division Controller including: telephone coverage, special projects, mail handling, necessary communications, internal & external billing/invoicing, waivers, credit card statement reconciliation and coding, prepare/design marketing materials, prepare/review expense s and some purchasing duties.
• Assist the CEO and other executives in the management of their schedules, appointments and civic activities.
• Prepare bid packages to include bid documentation, contract agreements, quotes and pre-qualifications.
• Run personal errands for executives.
• Prepare and distributes weekly and monthly s.
• Plan and coordinate meetings with clients, sub-contractors, and company events.
• Performs various clerical duties
• The ability to work overtime and regular, punctual attendance is required.

Qualifications

Minimum of two years experience as an Executive Assistant is required. Must be able to read, analyze and interpret general business materials. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public as required. Ability to perform basic math calculations is required. Must be proficient in Microsoft Word and Excel. Must have excellent oral and written communication skills. Should be able to prioritize tasks and handle multiple tasks simultaneously. Must have ability to handle confidential information.

Physical Demands

Must be able to sit for extended periods of time and work directly on a computer in a high pressure environment. Must be able to lift up to 25 pounds occasionally. All of the physical demands listed are essential functions. All of the physical demands listed are essential functions.
