Role Purpose

To support the effective co-ordination and delivery of the licensed venues (including large-scale student events) run by LSP in a safe and professional manner in line with commercial objectives and to deliver an exceptional level of service to all users of the venue/attending events. You will ensure the smooth day-to-day running of the Oadby Bar and any events that fall within your remit; this will be done through effective administration, communication and time management. You must lead by example and clearly demonstrate the high standards you expect to see in your wider team.

You must be able to make key decisions with the autonomy this role holds and which are in line with Leicester Services Partnership’s (LSP’s) strategic plan.

You must engage with the Senior Management Team to ensure the business continues to grow and develop, sharing ideas and working collaboratively with a focus on LSP’s Strategic Plan. You will report to and work with the Section Manager Retail & Events.

This role requires effective management, retail knowledge, food hygiene knowledge and health and safety standards knowledge.

Bars & Student Events Manager
University of Leicester campus, primarily Oadby Student Village however you are required to work at wherever the events take place.
35 hours per week, 40 weeks per year
As per a rota, this will include lates, evenings, weekends and early shifts.

Principal Responsibilities

• Making the venues/events safe, welcoming and fun spaces for all students/customers to enjoy.
• To operate and lead the bar function of ensuring high levels of customer service and efficiency with consistent monitoring, setting the example for all staff.
• To lead on the recruitment, training and ongoing support of casual and permanent staff ensuring they can excel in their role. Ensuring they are appropriately trained, met with regularly and development needs identified.
• Ensure that stock management is carried out (orders, line checks, stock audits, Procure Wizard stock system, accepting and checking deliveries) and overseeing the POS function.
• Involvement in new product research and development, pricing structures and menu planning to ensure maximum profitability to the area.
• Undertake financial duties including cashing up, banking, safe checks and variance investigations within published guidelines.
• To ensure all health & safety, legislation and food hygiene is always adhered to in line with any Health and Safety policies, procedures and safe systems of work. Contributing to a positive safety culture and ensuring incident reporting is done to an excellent standard.
• To have knowledge and monitor the venue’s performance against budget to ensure maximum efficiency is achieved.
• Ensure the venue is maintained to a high standard, ensuring faults are reported, where relevant extra cleaning is sourced and to assist with all relevant duties associated with running a nightclub and bar.
• Assist the Section Manager Retail & Events in the successful planning and execution of private hires and student events.
• To assist the University of Leicester Residential Life team on the delivery of student led events within the venue.
• To contribute to all team meetings and regularly review the effectiveness of all processes and procedures in the venue.
• Ensure any equipment issues are reported promptly and resolved quickly in order to prevent limited services.
• To work autonomously and be confident in key decision making as befitting the level of this role.
• Undertake all administrative functions in relation to the retail outlets.
• Effectively liaise with the Marketing Department and Head Chef/kitchen team when planning events including University of Leicester (UoL) Open Days and other key events such as graduation.
• Undertake sound financial management to ensure the outlets you oversee are profitable and stay within budget.
• To work in line with defined budgets and comply with any financial procedures, which are in place currently or are to be adopted in the future.
• Monitor and review customer satisfaction in the venue and at events that you oversee and, if required, take action to improve immediately.
• In the absence of the Section Manager Retail & Events ensure effective management of staff rotas, absenteeism, performance issues and sickness or to step in when required.
• Maintain confidentiality at all times regarding any confidential or sensitive information you are privy to in the course of carrying out the role, sharing this only with authorised persons.
• To ensure effective communication is maintained with the Section Managers, Retail Managers, Senior Management Team and the wider LSP team.
• Develop and maintain positive relationships with suppliers
• Build and maintain strong relationships with LSP operational management and senior management to ensure collaborative working.
• Ensure that bars’ paperwork is to standard and completed accurately.
• Ensure compliance with all cash management guidelines ensuring proper cash management practices are followed by the outlet team.
• Minimise wastage without affecting availability. Ensure all stock is correctly controlled and stored.
• Ensure compliance in all outlets within the remit of the role in regards to: Health and Safety, COSHH and Food Hygiene regulations at all times.
• Deal with maintenance issues promptly and report any critical, brand damaging, pest or Health and Safety issues immediately so that LSP can action them promptly.
• Be responsible for promoting equality and diversity in the workplace and challenging, where appropriate, those that do not.
• To continually strive to develop the food and beverage on offer, ensure it is on-trend and can suitably compete with the high street.
• Maintain professional relationships with University staff, suppliers, Licensing authorities, the Police and Environmental Health Officers.
• Be flexible and adapt to meet the needs of the business and its Strategic Plan.
• To perform any other reasonable task as determined by LSP.

Key Results Areas

• Financial – ensure the bar/s you oversee are cost effective with regards to staff and stock. Ensure all finance procedures are strictly followed and policies adhered to.
• Staffing – ensure staffing levels are accurate and cost effective.
• Overall performance of the bar/s – performance regarding profit, customer satisfaction and food hygiene will be constantly monitored and the outlets you oversee must perform consistently well in all areas.

Physical Effort

This is a primary operational role with administrational duties. It involves standing or moving, constantly mobile and walking. Travel by foot to visit each outlet within the remits of the role daily is a standard part of this role. There may be the need to lift heavy boxes and/or move stock from different locations.

All physical activities such as lifting and handling should be carried out in line with LSP’s Health & Safety policy and procedure.

Working Conditions

This is a primary operational role with administrational duties, with access to either the kitchens, which can be hot and humid, or cold stores/cellars, which are cold. There may also be challenges of unhappy customers who may become angry and possibly aggressive.

Part of this role will require you to work weekends.

• You will be responsible for leading on the intake of casual recruitment and permanent staff recruitment for bar/s you oversee.

Qualifications, Knowledge and Experience

Essential

• Qualification in food and beverage, retail or management discipline
• Food Hygiene Certificate Level 3
• Personal License Holder
• Management certificate or evidence of formal management training
• Experience of delivering a high level of customer service
• Experience of delivering budgeted profit levels
• Management experience of a staff team within a bar/events environment
• Strong IT skills (such as Word, Outlook, Excel)
• Experience of using in-house ordering systems
• Strong communication skills
• Strong kitchen/food development skills
• Strong leadership skills
• Training skills
• Cash handling skills

Desirable

• Educated to degree level, ideally in a Food and Beverage, Retail or Event Management discipline.
• It would be advantageous to have proven experience working in a coffee business or university catering or event management

The Bars & Student Events Manager carries out the duties placed on employees by the “Health and Safety at Work Act” 1974,:

• To take reasonable care for the health and safety of themselves and of other persons who may be affected by their acts or omissions at work.
• To co-operate with their employer as far as is necessary to meet the requirements of the legislation.
• Not to intentionally or recklessly interfere with or misuse anything provided in the interests of health, safety of welfare in the pursuance of any relevant statutory provisions.
• To attend all mandatory training which covers Health & Safety.
• Report any Health and Safety concerns promptly and in line with the company policies and procedures.

General

LSP has to continually modify and improve its service. This will inevitably mean that modification of structures and also job descriptions may prove necessary. The post-holder will be expected to co-operate with changes, which the Chief Executive may wish to introduce, subject to consultation.
