Lavallee Systems Hiring for Bookkeeper/HR Job at North Oxford, MA Full Time

The Bookkeeping & HR Coordinator will be primarily responsible for assisting the CFO with accounts payable, payroll time entries, basic reporting, and human resources support including hiring, benefits, and file management. Lavallee Systems is a mechanical company based in N. Oxford, MA providing residential plumbing, heating, AC and electrical services in the Boston and Metrowest area.

Responsibilities / Activities:

1.Accounts Payable

• Perform invoice entry and management in accounting software and production management software (Service Titan)
• Pay bills as directed by the CFO
• Monitor bank and credit card balances
• Reconcile vendor statements monthly
• Manage petty cash disbursements and reconciliation
• Process employee expense reimbursements

2.Accounts Receivable / Other Financial Duties

• Get mail 1-2 times per week
• Scan and deposit checks received
• Reconcile balance sheet accounts monthly

3.Payroll

• Enter time summary from schedule coordinator and email to payroll processor
• Process employee change forms
• Reconcile benefit deductions
• Process Simple IRA plan contributions
• Track and record Paid Time Off requests and employee absences
• Process all paperwork for employee terminations including COBRA documentation

4.Insurance

• Ensure delivery of Certificates of Insurance and W-9 forms as requested
• Process workman’s comp claims
• Process vehicle repair and accident claims

5.Benefits

• Enroll employees in benefits as needed upon hiring and open enrollment periods
• Act as a liaison with the benefit brokers
• Manage the benefit renewal selection process and open enrollment

6.Hiring

• Run periodic job ads as requested by management
• Process all hiring paperwork including the offer letter and tax forms
• Work with vendor to process background checks
• Manage the new employee onboarding process and orientation
• Ensure employees have adequate uniforms

7.HR Files

• Maintain confidential, complete, organized employee files
• Gather and submit all documents required for co-op students including timesheets, etc.

8.Staff Development

• Plan and execute staff outings and events
• Arrange and support employee training initiatives

Details:

Location: Works 1-2 days from the office with the option to work from home 1-2 days.

Hours: Part-time. Approximately 24 hours per week.

Salary: $25 per hour.

Requirements:

Bachelor’s degree in accounting or related field or 10+ years’ experience

Access to a computer and internet connection
