The Role

The Recruitment Coordinator will play a critical role in the Talent Acquisition team supporting interview scheduling, travel coordination, on-boarding logistics and administration on behalf of the Recruiters. In this role you will be interacting with various stakeholder groups, including Recruiters, Candidates and Hiring Managers across multiple geographies in a fast paced environment.

Key Accountabilities

In this role you will:

• Support the administration and co-ordination of the end to end hiring activities of assigned requisitions, ensuring an efficient and effective service is delivered to all involved in the hiring process.

• Coordinate all elements of candidate assessment coordination including sending meeting invites, booking rooms, organising Video Conferencing, dial in details, arranging testing and candidate travel and expenses.
• Support with other administrative activities such as reporting, printing documentation, preparation of Interview guides, candidate correspondence, career events and all other reasonable administration requests.
• Track, update and maintain candidate data in the applicant tracking system (ATS) in real time.
• Manage job postings process internally and externally as applicable in a timely and accurate manner ensuring quality control of information displayed and brand image.
• Prepare correspondence in support of candidates progressing through the recruitment process, i.e. interview letters, unsuccessful letters, register letters, holding letters etc. Maintain all templates, documents, and lists of information within ICIMs i.e. recruitment letters, job offers, job codes, EO information for internal applicants etc.
• Ensure that all Recruitment records are entered and maintained in an accurate and timely manner on IT systems.
• Ensure manual filing systems and records are kept up to date and in line with legislative requirements, providing ad hoc information to Client as required.
• Liaise with the Occupational Health Department and Security Department regarding new start clearances. Issue relevant documentation and monitor progress.
• Record and monitor requests for interview feedback sessions. Liaise with Client regarding the provision of copies of interview notes in preparation for feedback sessions
• Prepare reports and statistics including the Annual and 3 yearly Equal Opportunities Article 55 Review to facilitate statutory returns, ensuring that data is stored appropriately and in line with legislative requirements.

• Strong technical and systems aptitude with a working knowledge of Microsoft Office Suite
• Fluency to business proficiency level in (both oral and written) in English
