ACCOUNTABILITIES
COORDINATES CALENDAR AND CORRESPONDENCE
Scheduling and maintenance of calendar on email including
anticipating and collecting prep
Coordinates all meetings including dates, agendas, food, meeting
rooms and invitations
Ensures timely and appropriate response to incoming mail and emails, including drafting written responses to all levels of management and key resources and customers
Sets up and maintains email lists
PERFORMS REPORTING, FILE MANAGEMENT AND OFFICE COORDINATION
Orders and maintains supplies and equipment for department
Prepares and publishes reports, PowerPoint presentations and spreadsheets
Files and maintains department records and necessary documentation
Schedule and process expense settlements

LEGAL ADMINISTRATIVE ASSISTANT
Conduct internal and external fact investigation or background review on issues
Present investigation results to supervisor either verbally or in writing
Review miscellaneous contracts for changes
Screen callers and gather as much information as possible. Offer assistance to callers as applicable
Review mail thoroughly, prioritize, handle or distribute appropriately
Transcribe tapes and/or voicemails upon request

QUALIFICATIONS
REQUIRED
Excellent time management and organization skills
Attention to detail
Typing capability of 70 wpm combined with accurate proofreading
Strong knowledge of all Microsoft Office applications and Powerpoint
Working knowledge of internet
High level of confidentiality extremely important
Capable of solving problems and staying calm in stressful situations and during periods of high workloads
High School diploma
PREFERRED
Associate Degree, Technical School Training,
Paralegal or comparable training preferred
