Summary of the position:
Payroll Coordinator handles all payroll related functions of a KitchenSync Client. The relationship with the Payroll Coordinator starts when the client signs up for payroll services. This includes ensuring KitchenSync has access to the client’s current payroll processor or assisting in opening a payroll account with a processor. Also, ensuring that the payroll labor module is set up properly. The services supervisor then handles processing payroll, ensuring taxes and benefits are set up properly, as well as maintaining employee data, answering payroll questions and completing any other tasks necessary for monitoring and overseeing the client’s payroll process.
Job Responsibilities:
– Implementing new KitchenSync payroll clients
– Ensuring any changes are updated prior to payroll processing
– Communicating with the Payroll team in India throughout the week regarding payroll changes and updates.
– Ensuring taxes are being withheld properly
– Maintaining employee data
– Answering payroll related questions and concerns
– Gathering reports for audits (workers’ comp, unemployment, disability census, etc.)
– Preparing final checks for CA clients
– Coordinating with HR and Benefits on employees’ changes
– Sending out pay rate notice, termination packets, and other payroll related documents for HR clients
Knowledge Requirements (and why you need these):
– An understanding of the paperwork and IDs needed for opening a payroll account with a payroll processor. Having this knowledge will ensure that the setup of a payroll account is smooth.
– Knowledge of payroll taxes, this will be helpful if someone questions their check or if they have multiple checks across differently locations under one entity. You may have to manually adjust tax rates to ensure employees are having the correct amount of taxes withheld
– State Tax laws and understanding reciprocal agreements between states. This is useful for clients who have employees that live in different states than they work in
– Knowledge of hourly, tipped, and salaried employee payroll
– Knowledge of CA and NY regulations preferred
Qualifications / Skills:
– 3+ years direct work experience with national payroll processing company
– Working knowledge of payroll systems (Paychex, Paylocity, ADP, Toast)
– High volume, multi-unit payroll experience
– Hospitality experience preferred
– Good working knowledge of taxes
– Excellent communication skills, both verbal and written
– Organizational and time management skills
– Strong attention to detail
– Analytical thinking with good math skills
