Position Overview:
We are looking for a responsible Personal Assistant to provide personalized support in a well-organized and timely manner to our CEO. The Personal Assistant’s daily activities will involve assisting the CEO in a variety of tasks to support productivity and focus.
Responsibilities:
Scheduling & Calendar
• Maintain high level of confidentiality and discretion regarding all matters and documents
• Partner with CEO’s Executive Project Manager to manage his calendar, schedule appointments and book travel arrangements
• Reschedule meetings and appointments as needed and update changes promptly and accurately on calendar with all appropriate and needed information
• Communicate with CEO on a regular basis to review schedule to ensure all meetings and appointments are captured and accurate
• Assist CEO with internal and external communication to distribute information related to meetings and/or coordinate preparation documents, set up for personal and business meetings
• Arrange and book travel and related reservations based on upcoming events and schedule
• Proactively work with CEO and related teams to communicate schedules, travel and events as needed
Administrative Duties
• Manage and schedule responsibilities as needed by such as shopping trips, errands, home maintenance, events and other personal needs
• Manage and schedule responsibilities as needed such as special corporate projects, corporate sponsored events, corporate maintenance and other office needs
• Prepare for corporate, personal or other meetings by ordering and setting up equipment and or supplies as needed
• Act as lead in organizing personal and corporate events/meetings such as managing vendors and being the point of contact for all matters from start to finish
• Promptly answer calls and respond to messages
• Manage all expenses and expense reimbursements
• Maintain appropriate files so they are available and organized if requested
• Proactively support CEO to alleviate day-to-day tasks so that he may focus on business matters
• Other Duties as assigned
Our Ideal Candidate will have:
• Bachelor’s degree or equivalent work experience
• 3+ years’ experience as an administrative/executive assistant for a high-growth company
• A proven ability to execute with consistent delivery
• Superb organizational skills and attention to detail
• Excellent prioritization skills and efficient multi-tasking
• Intermediate user experience with ical and Google calendars and Office for Microsoft and Mac.
• A strong ability to build relationship with co-workers and keep others informed
• A growth mindset: desire to learn, grow and embrace new ideas
