Job Title: Education & Training College Information Systems Co-Ordinator
Full time Permanent Role (37 hours per week)
Pay Scale Band F: £25,923 to £28,024 depending upon qualifications and experience

You will lead a team of Data Administrators and Examination staff to deliver an outstanding service to stakeholders, ensuring a coherent and consistency level of service through the achievement of agreed service standards and key performance indicators.
You will provide support to the Vice Principal – Data, Funding and Information, to ensure a positive experience to service users. The role will include autonomous and directed project work on a variety of processes, including enrolment, examinations, loans, fees etc
To be responsible for ensuring that all aspects of student and course file data is accurate and credible, and is collected, input, cleansed and maintained to agreed quality and timescales.
Job Overview
To co-ordinate and develop information systems relating to all delivery excluding Work Based learning across the College ensuring efficient compliance with audit and regulatory requirements.
To assist in the role of providing accurate and timely ILR and other key data to on the college senior management team and other key stakeholders. Keeping up to date with policy and auditory changes and make recommendation for and, with agreement, implement, processes to ensure compliance within these.
To lead on the development of business processes associated with enrolment, ensuring the College has effective and efficient enrolment process for both full-time and part-time students. To have significant input into the College’s monthly ILR data returns, ensuring compliance with funding rules & audit, making sure they are accurate, timely and complete. Assist with the regular checking of data, using software tools to validate and ensure its accuracy and efficacy.
Assist and co-ordinate in the collection of evidence and data relating to full and part-time students for audits and OfSted. Liaise with college finance teams regarding all relevant fees, debtors and loans relating to full and part-time students, completing regular reconciliations to ensure the College has an effective timely system for collection of all outstanding fees. Coordination of the process to check the accuracy of timetabling of full-time provision, ensuring timetables reflect the course structure as set through Curriculum Planning, to ensure audit compliance and funding maximisation. To also ensure the creation of registers from timetables is timely to ensure all funded (and non-funded) students Curriculum delivery is evidenced to support audit.
To ensure the College have effective systems and processes used to collect full-time student data, including GCSE results, ULN’s etc. are effective and reviewed for suitability on an on-going basis. To research and review all available guidance in a timely fashion to ensure you become a focal point for knowledge relating to funding rules and audit for Education and Training provision, and pass on key information and changes to relevant staff on a regular basis through on-going training.
Overseeing the Examination function within CIS, ensuring that key exam deadlines are met in a timely manner. This will include the set-up of examination base data, managing student registrations, claims & examinations including invigilation.
To line manage the team of Education & Training Administrators, ensuring they have strong understanding of the funding and audit rules and requirements that apply to ESFA and AEB funded students.
