HR and Volunteering Administrator – 37.50 hours per week
Starting salary of £20,822
There is room to develop and progress through the pay grade banding up to £21,876 on a competency-based framework.

We have an exciting opportunity for a HR and Volunteering Administrator to join our fantastic team at Keech Hospice Care.
Working across both the HR and Volunteering departments, the successful candidate will act as first point of contact for all day to day enquiries. You will be responsible for the administration of the transactional HR activities including processing starters, leavers, generating offer letters, and the administration of staff sickness absence, while maintaining systems and databases and ensuring the smooth and effective running of the HR function.
This is a varied role which will give you the opportunity to develop a wide range of skills. We are seeking a self-starter with meticulous attention to detail, excellent communication and organisational skills, and an approachable and confident manner when dealing with people at all levels.

Job Description – HR and Volunteering Administrator
Responsible to:

HR Lead and Business Partner

Job Purpose:

To work across the HR and Volunteering Teams providing professional and confidential administrative support.

Specific Duties:

HR

• To be responsible for the administration of all transactional HR activities, processing starter and leaver administration, generating offer letters, contracts of employment and contract changes.
• To be responsible for the administration of staff sickness absence, identifying triggers and maintaining the HR database.
• Assist with the administration of the recruitment process of new staff including arranging interviews, booking rooms, facilitating tests, and conducting pre-employment checks.
• Prepare interview packs for panel members.
• Monitor responses to job adverts and liaise with recruiting managers.
• Identify recruitment opportunities in the community to increase applicant diversity.
• Assist on recruitment campaigns and identify opportunities to increase our reach and attract candidates from a wider audience.
• Prepare onboarding packs and support the delivery of HR welcome meetings.
• Maintain the staff personnel files.
• Assist with the management of the shared recruitment mailbox responding to internal and external enquiries in a timely manner.
• Deliver training and support to staff on the charity’s self-service systems, answering queries and identifying and implementing any upgrades or improvements.
• Be the point of contact for visitors to the HR office.
• Answer the telephone and deal with HR correspondence and enquiries either verbally or in writing including composing letters where necessary.
• Generate staff ID badges and maintain the database.
• Minute take at team meetings.
• General administration duties scanning, filing, shredding, ordering stationery.

• To undertake ad hoc projects as required

Volunteering

• To be the point of contact for visitors to the Volunteering office.
• Respond to training queries and requests.
• Liaise with the marketing team to advertise volunteering opportunities.
• Generate and distribute volunteer newsletters.
• Be the point of contact for volunteer vacancies.
• Co-ordinate work and support the office team of volunteers.
• Provide administrative support at volunteer events.
• General administration duties including scanning, filing, shredding, and ordering stationery.
• Undertake research into venues for events across the 3 counties.
• Generate ID badges
• Liaise with the fundraising team.
• To undertake ad hoc projects as required.
