The HR Coordinator is responsible primarily for the coordination and administration of HR service requests related to the entire employment lifecycle across all business units. The role involves processing a wide variety of transactions for Service Centre customers (internal and external), within agreed service levels, using HR systems, following HR processes and procedures, and ensuring compliance with KCA Deutag Worldwide Standards.
Work Pattern: 37.5 hours, Hybrid working arrangement (50% office hours)
Responsibilities
Deliver a customer focused administration service that focuses on – taking ownership, regular updates, answering the work request first time
Preparation of all employment paperwork relating to the employment lifecycle including offers of employment, time and workforce administration
In depth knowledge of contractual and non-contractual T’s and C’s for all KCAD Business Units
Understand the business rules relating to the calculation of sick pay, maternity pay, paternity pay and any other manual adjustments that need to be made in SAP
In depth knowledge of WFA processes and procedures, and good knowledge and understanding of relevant Time, Reward, Recruitment and Selection and Payroll processes and procedures
Provide HR administrative support and HR guidance to projects
Try to resolve any customer concerns about service delivery or quality in relation to an assigned task knowing when to escalate a complaint further
Continual improvement of service provided and HR administration processes
Development and review of HR processes, procedures, and systems; providing first level support to end users in their area of the business (including communication/roll out of any changes) and providing support to Global Process Owners
Undertake HR system testing, including the development of test scripts as required
Employee and Relative Response support as part of the Global Crisis Management Plan (GCMP)
Access, share and manage personal information relating to employees and colleagues in line with company and legal requirements regarding data protection and confidentiality
Manage and maintain accurate employee records
Conduct data quality checks in accordance with new processes, data governance, controls and manage any non-adherence through refresh training or support
Prepare and gather data for reports on people metrics, including the collation of data and preparation of “People Focus” monthly
Provide a basic advisory service to business and HR on administrative processes, policies, and procedures
Participation in small to large scale HR change projects which require HR support, including IT related HR deliverables. Participation includes stakeholder updates on area of expertise, development of user guidance, testing etc.
Provide support, advice, and guidance to Global Entities
Key Skills & Experience
PC skills (HR systems, Microsoft office). Experience using SAP is highly desirable.
Time management and organisational skills including the ability to prioritise tasks, work on multiple tasks and work to tight deadlines
Knowledge of HR processes, procedures and policies ensuring effective application and continuous improvement
Experience of working in a high-volume transaction processing environment, ideally HR
Ability to run and manipulate reports
Working with personal information relating to employees and colleagues in line with company and legal requirements relating to data protection and confidentiality
